Job Description

The University of New Mexico (UNM) is a prestigious public research university located in Albuquerque, New Mexico. Within its comprehensive infrastructure, the Food Services department, the LoboCard Office, and the University Club at The Championship Golf Course work collaboratively to provide exceptional service and experiences to the university community. These departments jointly seek a motivated and responsible Student Intermediate Level employee to join their team as an Event Services Support assistant. This role is designed specifically for current UNM students who wish to gain hands-on experience in event coordination, customer service, and operational support while working in a dynamic campus environment. The employment type is student employment, with an hourly pay rate ranging from $14.00 to $16.50. The position is non-exempt and offers a flexible schedule accommodating evening and weekend hours depending on event needs.

The Event Services Support position plays a crucial role in facilitating the smooth operations of the University Club and coordinating special events held at the Championship Golf Course. The ideal candidate will be someone with strong interpersonal and organizational skills, a friendly and professional demeanor, and a keen attention to detail. This role involves direct interaction with faculty, staff, students, and guests, requiring excellent communication and customer service abilities. Responsibilities include assisting the University Club manager with daily operational tasks and special event planning, such as scheduling events using management software, coordinating logistics, and helping with on-site event facilitation. The Event Services Support assistant also responds to inquiries by phone and email regarding event space rentals, provides tours of the event facilities, and maintains accurate records using software tools such as Microsoft Excel, Word, and PowerPoint.

In addition to event support, this position offers administrative assistance across multiple departments, including inventory management and vending solutions within UNM Food Services. Candidates must demonstrate the ability to manage multiple tasks simultaneously, communicate scheduling needs promptly, and maintain dependability in their work schedule. This role not only offers valuable experience in event planning and customer service but also allows students to develop important skills in using Microsoft Office applications, problem-solving, and teamwork. Job Duties

  • Assisting the University Club manager with daily operations and special event planning for members
  • delivering excellent customer service to faculty, staff, and students in each interaction
  • giving tours of the event space
  • scheduling events within our event management software
  • answering phone call and email inquiries about renting meeting rooms or event space
  • assisting clients and coordinating schedules with event planning logistics, catering, and on-site event coordination
  • on-site facilitation of events ensuring that event operations are in accordance with event goals and objectives
  • maintaining relationships with attendees and resolving or managing the resolution of issues and problems as they arise
  • planning, scheduling and coordinating logistical activities for special events, which may include arrangements for registration, meeting facilities, food services, audio visual equipment with the client contact
  • maintaining records, reports, and conference and special event files as required in Excel, Word or PowerPoint
  • assisting with administrative duties for multiple departments
