Within this vibrant setting, the Event Services Reservationist position is integral to advancing campus community initiatives by managing space reservations, processing event invoices, and tracking key operational data such as KPIs and event satisfaction metrics. The role serves as the primary point of contact for event planners and multiple campus offices, ensuring seamless coordination of room setups, attendee counts, equipment needs, and catering logistics. The Reservationist is responsible for using specialized reservation and room diagramming software to facilitate event planning and execution effectively.
This full-time role offers the opportunity to directly impact the student experience by supporting a wide range of campus events, from student organization activities to university-wide programs. The position is situated at the Student Union at The University of Tennessee in Knoxville, with occasional flexibility for remote work when event schedules permit. Compensation aligns with UT's market range MR05.
In addition to administrative duties, the Event Services Reservationist provides on-the-ground event support by overseeing facility operations during events and acting as the lead professional staff member when necessary. They also offer planning guidance and resources to student organizations, supporting their event success and campus involvement. This role requires daily attention to detail by managing event setups early each morning and responding promptly to last-minute requests.
Beyond daily event support, the Reservationist participates in departmental and divisional meetings, contributes to strategic planning efforts, and stays current on emerging trends in student union operations. Representing the university at regional and international professional organizations is also a key component, ensuring continual professional growth and networking within the event services field.

- strong attention to detail in reviewing event logistics, contracts, and scheduling
- ability to perform facility walkthroughs and verify event readiness

Job Duties
- Manage meeting and event space reservations and enter information into reservation software
- file and print event schedules and setup reports
- routinely follow up with guests about room setup, attendee counts, and equipment needs
- communicate with campus offices and individuals regarding event requests
- serve as liaison for Vol Dining catering coordination and ensure adherence to university policies and emergency protocols
- process event invoices for Student Union spaces
- maintain operational data and space usage assessments including KPIs and event satisfaction metrics
- communicate event needs to student union staff and operational teams
- provide facility oversight and management for Student Union events, acting as lead staff when others are unavailable
- manage reservations and execution for outdoor spaces and tabling locations
- support event planning through consultations, meetings, and facility tours
- coordinate technical setups and AV operations in collaboration with tech staff
- assist with event crowd management
- monitor services, safety, and security of the Student Union
- identify and resolve operational issues
- manage fulfillment of morning event room setups and respond to last-minute requests
- use Social Tables software for event diagramming
- support and advise student organizations with event planning and resource allocation
- participate in departmental and divisional meetings and planning
- assist in implementing the Student Union Emergency Action Plan
- represent the university in regional and international organizations and monitor trends in student union operations
