The Event Services Manager position at UTIA is a pivotal role that combines strategic leadership with hands-on operational expertise. Reporting directly to the Chief Operating Officer, the Event Services Manager oversees institute-wide events, parking operations, and space coordination. This role is not only responsible for the successful planning and execution of signature events but also acts as a key liaison among UTIA, UT Knoxville event partners, and external stakeholders. The position requires balancing multiple priorities and ensuring that all aspects of event management meet high standards of quality and effectiveness.

In this role, the manager will lead the entire cycle of high-profile events, from initial concept development to the day of execution, ensuring that budgets, timelines, and logistics are carefully managed. Additionally, the Event Services Manager supervises parking operations, overseeing both day-to-day functionality and event-specific needs, and collaborates closely with parking authorities to resolve challenges and improve services. Administrative leadership responsibilities include supervising staff, setting departmental priorities, and building cross-departmental relationships within the university.

Moreover, the role includes managing space and room reservations, ensuring reservation systems are accurately maintained and in compliance with emergency management guidelines. This comprehensive leadership role is essential to maintaining the smooth operation of UTIA’s event and parking services, supporting the institute’s mission and fostering strong community partnerships. Job Requirements

  • High school diploma or GED
  • Five years progressively responsible direct experience managing events
  • Ability to independently manage multiple concurrent events and projects
  • Strong organizational, interpersonal, and communication skills
  • Ability to work under pressure in a fast-paced, collaborative environment
  • Ability to coordinate effectively with vendors and internal teams
  • Legally authorized to work in the United States full-time without need for sponsorship

Job Qualifications

  • High school diploma or GED

  • Strong organizational, interpersonal, and communication skills
  • Ability to work under pressure in a fast-paced, collaborative environment
  • Ability to coordinate effectively with vendors and internal teams

  • Preferred bachelor's degree
  • Preferred three years progressively responsible direct event management experience
  • CEPS or other relevant event planning certification
  • Experience in higher education environment
  • Supervisory experience
  • Knowledge of campus and statewide event facilities, technology, and equipment
  • Knowledge of university and state procurement policies
  • Knowledge of event planning principles and best practices
  • Ability to exercise sound judgment and decision-making in complex situations

Job Duties

  • Lead signature UTIA events from concept to onsite delivery
  • Manage timelines, logistics, staffing, vendors, and budgets
  • Serve as public-facing representative with senior leaders, donors, partners, and officials
  • Coordinate joint events with UT Knoxville and campus partners
  • Develop event-specific processes and oversee vendor performance
  • Direct UTIA parking operations for events and daily use
  • Lead annual parking permit reviews and lot assignments
  • Serve as liaison with UT Knoxville Parking and Transit Authority Committee
  • Resolve real-time parking challenges and design operational solutions
  • Supervise staff, student workers, and temporary employees
  • Set departmental priorities, procedures, and goals
  • Coordinate staffing schedules for events
  • Build relationships across UTIA and university
  • Serve as approver for space and room reservations
  • Maintain accurate room data and ensure emergency alignment
  • Utilize university reservation systems
