The Event Services Manager position at UTIA is an essential leadership role reporting directly to the Chief Operating Officer. This position is responsible for providing comprehensive management and strategic oversight for a variety of institute-wide events, as well as managing parking operations and space coordination. The role demands a unique blend of strategic planning skills and hands-on execution capabilities. The successful candidate will serve as a key liaison between UTIA, the University of Tennessee, Knoxville event partners, and external stakeholders, including senior leaders, donors, public officials, and vendors.
Primarily, the Event Services Manager is tasked with leading signature UTIA events, which account for approximately 40% of their responsibilities. This involves full-cycle event management, from initial concept development through to onsite delivery, ensuring high standards of quality and adherence to budgets and timelines. The role requires managing logistics, staffing, vendor relationships, and maintaining impeccable communication with all parties involved.
In addition to event leadership, the manager oversees parking operations, comprising about 35% of the role. This includes directing day-to-day UTIA parking use, managing parking permits, lot assignments, and serving as the departmental liaison with UT Knoxville Parking & Transit and the associated committees. The position requires problem-solving skills to address real-time parking challenges and develop tailored operational solutions.
Another critical aspect of the role, accounting for about 15%, is providing administrative leadership. This includes supervising staff, student workers, and temporary employees, as well as setting departmental priorities, procedures, and goals that align with UTIA's strategic direction. Coordination of staffing schedules to support events outside regular hours is also an important responsibility.
Finally, the Event Services Manager manages space and room reservations within UTIA, serving as the institute-level approver, ensuring data accuracy, emergency compliance, and coordination with university reservation systems. This aspect constitutes approximately 10% of the role.
The position is located onsite in Knoxville, Tennessee, with occasional remote workdays possible following approval. The anticipated hiring salary range is between $65,000 and $75,000. Job Requirements

- five years progressively responsible direct experience managing events
- ability to independently manage multiple concurrent events and projects
- strong organizational interpersonal and communication skills
- ability to work under pressure in a fast-paced collaborative environment
- ability to coordinate effectively with vendors and internal teams
- legal authorization to work in the United States on a full-time basis without need for sponsorship now or in the future for employment-based visa status
Job Qualifications
- High school diploma or GED, five years progressively responsible direct experience managing events, ability to independently manage multiple concurrent events and projects, strong organizational interpersonal and communication skills, ability to work under pressure in a fast-paced collaborative environment, ability to coordinate effectively with vendors and internal teams, bachelor's degree preferred, three years of progressively responsible direct event management experience preferred, CEPS or other relevant events planning certification preferred, experience in a higher education environment preferred, supervisory experience preferred, knowledge of campus and statewide event facilities technology and equipment preferred, knowledge of university and state procurement policies preferred, knowledge of event planning principles and best practices preferred, ability to exercise sound judgment and decision-making in complex situations preferred
Job Duties
- Plan and execute all phases of high-profile events, manage timelines logistics staffing vendors and budgets, serve as a public-facing representative of UTIA with senior leaders donors partners and public officials, coordinate joint events with UT Knoxville Event Planning and campus partners, develop event-specific processes and oversee vendor performance, direct UTIA parking operations for events and day-to-day use, lead annual parking permit reviews and lot assignment processes, serve as UTIA's liaison with UT Knoxville Parking and Transit and the Parking and Transit Authority Committee, resolve real-time parking challenges and design operational solutions, supervise staff student workers and temporary employees, set departmental priorities procedures and goals aligned with UTIA's strategic direction, coordinate staffing schedules to support evening and weekend events, build strong working relationships across UTIA and the broader university, serve as UTIA's institute-level approver for space and room reservations, maintain accurate room data and ensure alignment with emergency management requirements, utilize and stay current with university reservation systems
