As a Sales Coordinator, your primary responsibility will be to plan, organize, and oversee all aspects related to group bookings, including guest rooms, menus, and event setup. This role requires active participation in negotiating meetings to handle functions, room assignments, rates, and all other related requirements to maximize room and meeting space utilization, revenue, and profit. From the moment a group contract is signed, you will manage every detail, ensuring seamless coordination of VIP needs, amenities, group resumes, and rooming lists.
You will be entrusted with managing meetings, conventions, and related activities with precision and professionalism. Collaborating closely with banquet and event staff, you will serve as a team leader to guarantee flawless event delivery. Consistently achieving high productivity and activity goals set by management will be critical to your success. Your role will also involve diligent and timely follow-up on all signed business, maintaining accurate and thorough client documentation, and developing strong relationships through professional communication and ethical interactions.
A focus on revenue-generating activities by retaining accounts, maximizing sales effectiveness, and identifying up-sell opportunities will be instrumental in your duties. You will handle intricate event details, including space requirements, audiovisual equipment, menus, themes, and decorations, ensuring every client need is met with precision. Financial responsibilities such as overseeing group billing, processing deposits, and coordinating credit applications with accounting will also be part of your portfolio.

This full-time position is bonus eligible with a competitive salary range of USD 62,000 to USD 65,000 per annum. Job Requirements
- More than two years of post high school education
- One to two years of related work experience
- Working knowledge of banquet and catering food and beverage services
- Computer proficiency
- Supervisory skills
- Effective communication skills
- Ability to lift and move items up to 50 pounds occasionally
- Capability to stand for extended periods and perform physical tasks such as bending and kneeling
- Ability to climb stairs regularly

Job Duties
- Plan, organize and manage in-house details for large group and convention bookings
- Participate in negotiating meetings for meetings, functions, rooms, and rates
- Ensure maximization of room and meeting space utilization, revenues, and profits
- Coordinate execution of event planning from contract signing to event delivery including VIP needs and rooming lists
- Lead banquet event order (BEO) and staff meetings as a team leader
- Achieve productivity and activity goals established by management
- Follow-up on all signed and contracted business within five working days
- Maintain accurate and organized client files and documentation
- Develop strong customer relationships through professional communication and ethical interaction
- Handle customer complaints and issues to ensure quality service and satisfaction
- Oversee billing details for hotel groups including deposits and credit card authorizations
- Participate in development of new sales tools and competitor product analysis
- Monitor and control client event budgets to maximize revenue and minimize expenses
- Attend and lead pre-conference meetings and coordinate pre-con with client and hotel staff
- Close out groups including pickup in sales system and commission processing
