The role of Event Services Manager at Constellation, based in New York, NY, offers an exciting full-time, onsite opportunity within the Dining & Events sector. This position is critical in facilitating memorable catered events by overseeing and coordinating all aspects from planning through execution. The Event Services Manager supports the Senior Director of Sales by managing event logistics, menu selection, staffing, and client communication, ensuring smooth operations and exceptional customer satisfaction. This role involves detailed management of event information, scheduling deliveries and staff, and maintaining effective communication with sales, culinary, and operations teams. The position is designed for an experienced, motivated professional who is adept at multitasking, problem-solving under pressure, and leading a team to deliver high standards of service in a corporate dining context. With a Monday through Friday schedule, this role promises a stable workweek and an engaging workplace environment surrounded by passionate event and catering professionals.

The Event Services Manager is accountable for maintaining detailed event records through platforms such as CaterXpert and Outlook calendars, ensuring all event details are accurate, and managing event rentals efficiently. This role requires strong financial oversight including the timely collection of payments and deposits, reviewing accounts receivable reports, and addressing late payments proactively. Additionally, the Manager will act as a primary point of contact for general leads and contribute to event follow-ups, including managing post-event processes and sending reminders to internal teams to ensure seamless event delivery. The Manager is responsible for staff management duties such as holding team members accountable, providing discipline when necessary, and ensuring the overall event staff operates at peak efficiency. Salary ranges for this role are competitive within the industry, offering between $80,000 and $85,000 annually, accompanied by a comprehensive benefits package designed to support employee wellness and work-life balance. Job Requirements

  • 2 years of catering/food-beverage and/or administrative/event experience
  • very organized
  • able to work independently and make the right decisions for the business
  • basic PC knowledge and comprehension (Word & Excel)
  • basic math knowledge and comprehension (addition, subtraction, multiplication, division, fractions, and percentages)
  • excellent communication skills
  • excellent staff management skills

Job Duties

  • Ensuring all event information in CaterXpert from the sales team is up to date and fully detailed prior to event deadlines
  • review event floorplans, day of supervisor packets, pack lists and rental equipment to ensure all information is current and correctly distributed
  • responsible for communicating SCG procedures, standards and expectations to all event staff when on-site
  • assisting in the setup and execution of events
  • ensure that event rentals have scheduled deliveries and pickups that are convenient for specialist or venue manager
  • maintain calendar of events through Outlook and attend all necessary event meetings and conference calls
  • communicate with sales, culinary and booking staff, as needed, to ensure understanding of menus and client needs
  • responsible for the collection and submission of all payments and deposits as it relates to contracted events
  • responsible for nimble trouble shooting and determining the best judgment calls when a quick decision needs to be made
  • managing a staff, holding them accountable for their work and disciplining as needed
  • follow up with photographer’s post event to request event photos
  • act as first point of contact for general leads and gather as much detailed information as needed
  • process event closeouts on following day of each event
  • send out nightly event reminders to internal staff
