The Event Services Manager role within Constellation Culinary Group is a full-time, onsite position based in New York, NY, offering an attractive compensation range between $80,000 and $85,000 annually. This role reports directly to the Senior Director of Sales and plays a crucial part in the planning, coordination, and execution of catered events. The Event Services Manager is responsible for managing every facet of event delivery, including menu selection assistance, catering staff scheduling, facility arrangements, and ensuring seamless communication between the client and internal teams. This position requires a hands-on manager capable of overseeing event logistics, supervising event staff, and maintaining excellent client relationships to guarantee satisfaction before, during, and after events.
This role demands a high level of organization, communication, and problem-solving skills. The Event Services Manager acts as the hub of information by maintaining up-to-date event details in CaterXpert, reviewing floor plans and equipment lists, and ensuring that all staff adhere to the company’s procedures and standards. The role also involves managing financial aspects such as collection of payments and deposits, reconciling accounts receivable reports, and troubleshooting issues as they arise. Strong leadership skills are essential, as this role includes managing and disciplining staff when necessary. Furthermore, the manager serves as the primary contact for event inquiries and supports the sales team with detailed event information. Job Requirements
- Minimum high school diploma or equivalent
- Two years of catering, food-beverage, administrative, or event experience
- Very organized
- Able to work independently and make the right decisions for the business
- Basic PC knowledge and comprehension including Word and Excel
- Basic math knowledge including addition, subtraction, multiplication, division, fractions, and percentages
- Excellent communication skills
- Excellent staff management skills
Job Qualifications
- Minimum high school diploma or equivalent
- At least two years of experience in catering, food and beverage, administrative, or event management roles
- Strong organizational skills
- Excellent communication skills
- Proficiency with basic PC skills including Word and Excel
- Basic math skills including addition, subtraction, multiplication, division, fractions, and percentages
- Proven ability to manage and lead staff
- Ability to work independently and make business decisions
- Bachelor’s degree in management is preferred but not required
Job Duties
- Ensuring all event information in CaterXpert is up to date and fully detailed prior to event deadlines
- Review event floorplans, supervisor packets, pack lists, and rental equipment to ensure accuracy and distribution
- Communicate Constellation Culinary Group procedures, standards, and expectations to all event staff on-site
- Assist in the setup and execution of events
- Schedule deliveries and pickups for event rentals in coordination with specialists and venue managers
- Maintain a calendar of events through Outlook and attend all necessary meetings and conference calls
- Communicate with sales, culinary, and booking staff to ensure understanding of menus and client needs
- Collect and submit all payments and deposits related to contracted events
- Review weekly accounts receivable reports, correct discrepancies, and collect late payments
- Troubleshoot event-related issues and make quick, informed decisions
- Manage and hold staff accountable, provide discipline as needed
- Follow up with photographers post-event to request event photos
- Act as first point of contact for general leads and gather detailed information
- Process event closeouts following each event
- Send nightly event reminders to internal staff
