This job opening is with the Graduate and Executive Education (GEE) Events team at the Haslam College of Business, a leading business education provider that offers highly ranked master’s programs and non-degree executive education courses. The Program Coordinator at GEE plays a vital role in ensuring the smooth operation and delivery of both degree and non-degree programs. Reporting to the Senior Event Services Manager, this position supports the operational and administrative functions of the GEE Events team by managing on-site and off-site events. Responsibilities include coordinating with faculty, vendors, and program staff to ensure excellent service delivery, handling logistics such as food and technology setup, and providing front desk and customer service support to students, faculty, and visitors. The coordinator facilitates communication and collaboration among various stakeholders to align resources effectively, ensuring that programs run seamlessly. Additionally, this role involves managing invoices in partnership with the Financial Information Office, maintaining inventories, scheduling student workers, and supporting travel documentation and admission efforts for non-degree programs.
This position requires a candidate with strong organizational skills, excellent interpersonal and communication abilities, attention to detail, and the capability to manage multiple priorities. Job Duties
- Facilitate on-site food orders, program setup, program service and cleanup
- On-site support for degree programs including classroom preparation, securing materials, equipment and technology needs
- Collaborate with vendors, event services staff, and program teams for catering, transportation, and logistical support
- Maintain inventory of materials, furniture, and supplies for degree and non-degree programs
- Coordinate vendor invoices with financial information office, including review, coding, and submission
- Collaborate with Program Directors and faculty for successful execution of on-site, non-degree programs
- Provide on-site and off-site logistical support, including simulation setup and student coordination
- Manage front desk operations, including handling inquiries, maintaining office supplies, and welcoming visitors
