The role of the Event Services Coordinator is central to the success of the department and the overall guest experience. The coordinator will primarily provide material and operational support across all event services support functions, ensuring seamless administrative assistance while maintaining consistent communication with guests and internal teams. Responsibilities encompass a wide array of tasks including answering multi-line telephone systems, managing incoming inquiries, preparing contracts and correspondence, and coordinating with multiple hotel departments to convey timely and accurate information.

This position requires an individual who is highly organized, detail-oriented, and capable of working independently with minimal supervision. The Event Services Coordinator supports Sales and Event Service Managers by managing data entry, maintaining multiple lead sources, processing client deposits, and auditing group bookings and deposits. They play a liaison role between departments, resolving day-to-day administrative and operational issues to maintain smooth event execution.

Furthermore, the coordinator manages logistical aspects such as preparing amenity boxes, inspecting guest and meeting rooms for site visits, and processing various booking modifications from clients. There is a strong emphasis on providing exemplary guest service and team-based selling experience, with a primary focus on communication skills and problem-solving abilities. Knowledge of property operations, banquets, and reservation systems such as Delphi is essential to thrive in this role.

The position demands flexibility in work hours, including holidays, nights, and weekends to accommodate business needs. Physical demands include the ability to sit, stand, and occasionally walk throughout shifts, as well as the capacity to push or pull items weighing up to 25 pounds. This role requires candidates to be at least 21 years old and maintain an appropriate Alcohol Awareness card.

Job Requirements

  • Must be a minimum of 21 years of age
  • Minimum of 2 years administrative experience preferably in wedding, event, catering sales, marketing, guest services or related area
  • Ability to work efficiently, independently and cohesively producing quality results
  • Must maintain an appropriate Alcohol Awareness card
  • Flexible to work all shifts including holidays, nights, and weekends
  • Ability to perform complex reading, writing, math and task completion
  • Must be able to push/pull 25 pounds or less
  • Ability to work in a typical work environment including exposure to odors or secondhand smoke
  • Ability to sit, stand and occasionally walk during shifts

Job Qualifications

  • Minimum of 2 years administrative experience preferably in wedding, event, catering sales, marketing, guest services or related professional area
  • Strong communication skills including planning and implementing action plans and presentation experience
  • Knowledge of property operations and banquets
  • Experience working with reservation systems such as Delphi
  • Excellent clerical and coordination skills

Job Duties

  • Answer multi-line telephone system to receive/provide information from guests to Meeting & Event Sales managers
  • Communicate with guests for all business inquiries
  • Provide administrative support to Event Service and Sales Managers including typing, faxing, photocopying, answering multiple phone lines, assisting visitors and resolving administrative tasks
  • Prepare all correspondence, contracts, resumes, and maintain documentation related to incoming meetings and events
  • Distribute Event Services correspondences and serve as a liaison between departments to resolve operational issues
  • Maintain multiple lead sources for guest inquiries
  • Set up, maintain and route guest inquiries to hotel departments ensuring accurate information
  • Heavy data entry for group bookings
  • Inspect and coordinate aspects of guest rooms and meeting rooms for site inspections
  • Prepare amenity boxes and maintain inventory
  • Review small contracts and create reservation IDs
  • Send out group resumes and bookings
  • Process client deposits for definite bookings
  • Process group turnovers ensuring communication across departments
  • Process revisions, re-solicits or cancellations
  • Process space hold requests from sales and event managers
  • Process post-event data for reporting
  • Compile and communicate daily, monthly, and quarterly data reports
  • Coordinate and confirm redemption appointments and reservations for hotel amenities and services
  • Conduct weekly and monthly audits and monitor group deposits
  • Communicate with Event Services Managers and other departments to respond to guest needs
