The available position is for a full-time Event Services Coordinator at The Greek Theatre, offering a competitive salary of $70,304. Reporting directly to the Event Services Manager/Director, this role is vital in coordinating all aspects of event preparation and execution related to the facility. The Event Services Coordinator acts as a key liaison between the venue and event tenants, ensuring all requirements are met while enforcing adherence to facility rules, regulations, and policies. This position includes responsibility for managing all event services personnel, including part-time front of house staff, guaranteeing smooth event operations.

The role demands a hands-on leadership approach within the Event Services Department, supporting the Event Services Manager/Director in supervising, developing, and mentoring team members. The coordinator will manage recruitment, hiring, scheduling, and supervising of part-time front of house staff, demonstrating proficiency with the ABI Mastermind scheduling system for optimized labor management. Engaging with employees through training and orientation activities is also a crucial component of this role.

The Event Services Coordinator is expected to conduct thorough inspections of event spaces to ensure suitability and adherence to client and contractual needs. Familiarity with security technologies such as Evolv and compliance with safety protocols is essential, alongside skills in coordinating with various departments including box office, sponsorship, operations, police, and traffic management. Competency in utilizing reporting platforms like Raven and parking management systems like JustPark is also required.

Moreover, the coordinator must be capable of managing multiple simultaneous events, responding effectively to guest inquiries or complaints, and making prompt decisions during crisis situations. The ability to work independently, exercise sound judgment, maintain effective working relationships, and stay flexible in a fast-paced environment is critical. The role includes supervising all patron services employees, developing staff schedules, and collaborating with management to enhance workplace diversity and inclusion. This position demands a strong organizational skill set to prioritize tasks and meet strict deadlines, along with excellent communication abilities and a willingness to work irregular schedules to oversee all events and activities.

Job Requirements

  • Bachelor's degree or equivalent education and experience
  • Minimum two years related experience or training
  • Strong knowledge of labor laws especially California labor law a plus
  • Proficiency in ABI Mastermind scheduling system
  • Experience managing part-time front of house event staff
  • Ability to coordinate multiple events simultaneously
  • Strong problem-solving and decision-making skills
  • Excellent communication skills both oral and written
  • Ability to work independently and as part of a team
  • Flexibility to work irregular and extended hours including nights and weekends
  • Familiarity with security technologies such as Evolv

  • Physical ability to stand for long periods and move around the facility

Job Qualifications

  • Bachelor's degree from an accredited four-year college or university and two years related experience or equivalent combination of education and experience
  • Knowledge of California labor law is a plus
  • Ability to coordinate and satisfy requirements of multiple simultaneous events
  • Skilled in responding to inquiries or complaints from customers regulatory agencies or business community
  • Capable of making prompt and decisive crowd management decisions during crisis situations
  • Ability to work independently exercising judgement and initiative
  • Effective at maintaining working relationships with clients employees exhibitors patrons and others
  • Proficient in defining problems collecting data establishing facts and drawing conclusions
  • Experienced in interpreting technical instructions involving mathematical or diagram form with abstract and concrete variables
  • Able to work effectively under pressure and meet stringent schedules producing accurate results
  • Strong organizational skills to prioritize work and meet deadlines

Job Duties

  • Be a hands-on leader of the Event Services Department offering support to the Event Services Manager/Director in supervising developing and mentoring team members
  • Recruit hire schedule supervise and manage part-time front of house team members including Event Services
  • Demonstrate proficiency in ABI Mastermind scheduling system to manage staffing optimize labor allocation and adapt to operational needs
  • Support Employee Engagement and lead annual team member orientation training
  • Evaluate and report Guest Services staff adherence to company policies nightly
  • Serve as D.O.S. lead for artist VIP programs coordinating logistics staffing and client experience
  • Inspect event spaces rooms and meeting areas for suitability considering factors such as air circulation lighting location size and event requirements
  • Ensure equipment physical set-up and personnel meet event and client contractual requirements
  • Utilize Evolv technology and enforce security policies ensuring venue safety compliance
  • Compile distribute and manage event files including notes medical reports incident reports arrests parking lists schedules and payroll
  • Learn and utilize Raven reporting platform for event documentation
  • Complete event specific documents including incident reports checklists and inventory logs
  • Coordinate with Box Office on technical and production requirements affecting sight lines or seating
  • Collaborate with departments such as sponsorship operations police and traffic for facility activities
  • Assist guests with parking inquiries using JustPark online parking system and troubleshoot as needed
  • Manage event preparation including set-up tear down housekeeping and cleaning of public facilities
  • Develop initiatives promoting workplace diversity and inclusion alongside Event Services Manager/Director
  • Work irregular schedules to supervise all events and activities
  • Perform other assigned duties and responsibilities
