Job Description
The University of North Florida (UNF) is a public university recognized for its commitment to providing an inclusive and welcoming environment for students, faculty, and staff from diverse backgrounds. As a Carnegie Community Engaged Institution, UNF actively collaborates with community partners locally and globally, aligning with its mission to contribute to the public good and prepare educated, engaged citizens. Located in Jacksonville, Florida, the university offers a variety of academic programs and services aimed at supporting student success and community engagement.
The University Center, known as the Herbert University Center (HUC), serves as a vibrant hub for conferences, meetings, and special events that support both University and external clients. The Center is pivotal in facilitating campus activities by providing event spaces, operational support, and client services that enhance the overall event experience.
The Event Services Associate position at HUC is a critical operational role focused on supporting the planning, coordination, and execution of diverse events hosted within the facility. This is an hourly paid position, starting at $18.27 per hour, with compensation negotiable based on experience and qualifications. The role primarily requires availability during evening hours Tuesday through Saturday, with flexible scheduling to meet varying event demands.
In this role, the Event Services Associate is responsible for ensuring accurate event setups and operational readiness of event spaces, coordinating with student event staff to deliver exceptional client services in alignment with HUC standards. This position requires hands-on physical work involving the setup and breakdown of event furniture and equipment, often weighing more than 50 pounds, as well as prolonged standing during event operations. The Associate serves as an on-site operational point of contact during assigned shifts, shouldering responsibility for resolving any issues that arise to ensure seamless event execution.
Leadership duties include hiring, training, scheduling, and supervising approximately eight OPS/student event staff members. The Associate is tasked with assigning responsibilities, monitoring performance, and fostering a professional and safe working environment through consistent enforcement of policies and coaching.
Additional responsibilities encompass managing the maintenance, cleanliness, and organization of event furnishings, equipment, and storage areas, conducting inventories of furniture and audiovisual resources, and addressing equipment functionality to guarantee readiness for client use. The role also involves assisting with building operations such as opening and closing the facility, conducting regular rounds to maintain high visibility and accessibility during events, and implementing emergency and safety protocols, including serving as a Building Emergency Coordinator when required.
The Event Services Associate provides excellent customer service to clients, guests, staff, and vendors both in person and remotely via phone and email. Duties also include assisting visitors with information about the University and the HUC services, managing front desk activities, documenting event-related issues promptly, and performing other administrative tasks that support smooth event and facility operations.
Overall, this role demands a candidate with strong organizational and leadership capabilities, excellent communication skills, and a commitment to delivering quality service in a dynamic event environment. The position requires a high school diploma and a minimum of two years of relevant experience or an equivalent combination of education and experience. Candidates must also be willing to undergo background and possible credit checks as part of the hiring process, and adhere to Title IX responsibilities regarding the reporting of sexual misconduct. This position offers an opportunity to be part of a diverse, engaged community at UNF while contributing to the successful execution of campus events.
