The Event Scheduling Coordinator position at UMKC Conservatory is a vital role responsible for the seamless coordination and management of over 400 events annually, including student and faculty recitals, performances, master classes, guest artist appearances, and other non-course related activities. This position requires working closely with the production team to ensure that all events are successfully scheduled and executed. The coordinator will oversee the hiring and training of ushers, stage managers, and student workers, as well as the recruitment and assignment of volunteers. The operational aspects of events such as scheduling rehearsals, sound and video recording, handling reservations, and enforcing Conservatory policies also fall within this role's responsibilities.

The position reports to the Associate Dean of Performance/Facilities Management and may occasionally require work during evenings and weekends depending on event schedules. The Event Scheduling Coordinator manages various logistical functions, including the rental and sign-out process for Conservatory instruments, keys, and lockers, as well as billing related to recital, program, and recording fees. This role is essential in maintaining an organized and efficient production schedule, ensuring that all events meet the high standards expected by UMKC Conservatory.

Job Requirements

Job Duties

  • Schedule and coordinate all student/faculty recitals and performances for the Conservatory both on and off campus
  • Manage and coordinate the annual performance calendar for all Conservatory performances including rehearsals, masterclasses, guest artists, and non-course events
  • Manage the hiring, training, and assignments of ushers, stage managers, student workers, and volunteers for events
  • Maintain the Volunteer Lounge and restock hospitality items as needed
  • Collect payment information for student/faculty recitals and performances
  • Coordinate scheduling of sound and video recording with the Conservatory Recording Studio
  • Handle Non-Conservatory event inquiries including reservations, planning, and enforcement of all policies
  • Maintain and prepare correspondence related to scheduling and events for production staff
  • Coordinate with leadership in developing the overall production scheduling calendar
  • Oversee rental and sign out of Conservatory instruments, keys, and lockers
  • Manage billing for recital, program, recording, and locker fees
  • Perform other duties as assigned
