As an Events Planner at The Events Company, you will take on a pivotal role in orchestrating a wide array of high-profile events such as galas, weddings, corporate functions, and various social gatherings. Your responsibilities will encompass the comprehensive planning and execution of these events, ensuring that each one is delivered seamlessly from concept to completion. You will be tasked with managing client relations and vendor partnerships, overseeing contractual agreements and budget management to align with the company’s profitability goals. In addition, you will coordinate all logistical aspects including event design elements, timelines, and on-site set-up activities.

The position requires your involvement from the initial stages of event development — crafting detailed proposals and budgets — to the final execution and post-event processes like billing and reporting. Working under the guidance of senior leadership, you will prepare cost estimates, track expenses, and maintain thorough documentation. You will also play an integral part in developing event themes and layouts, collaborating with third-party vendors, warehouse managers, and various departments to ensure all components are meticulously arranged and executed. Your presence on-site during events will be essential to oversee the flawless delivery of every aspect as promised to the client.

Job Requirements

  • Minimum 5 years of experience in high-end luxury event planning
  • experience managing event budgets of $250K plus
  • proficiency in Microsoft Word, Excel, PowerPoint, Canva, and Google Sheets
  • availability to work nights, weekends, and holidays as business dictates
  • ability to manage client and vendor relationships
  • capable of coordinating event logistics and timelines
  • strong problem-solving skills during event execution

Job Qualifications

  • Minimum 5 years of experience in high-end luxury event planning with event budgets of $250K plus
  • college degree preferred
  • proficient in Microsoft Word, Excel, PowerPoint, Canva, and Google Sheets
  • able to work nights, weekends, and holidays as required
  • able to submit a portfolio of past work with application
  • excellent organizational and communication skills
  • strong negotiation and vendor management abilities

Job Duties

  • Develops, prioritizes, and implements assigned events including balls, weddings, galas, social events, and corporate events
  • responsible for planning and orchestrating events from beginning to end
  • produce and negotiate contracts and maintain relationships with clients and preferred vendors
  • compiles event cost estimates, tracks budget statistics, prepares event files, and produces management reports
  • completes necessary documents including contracts, deposits, and correspondence
  • develops estimate of cost staying within budget while ensuring target profit margins
  • works with third-party vendors to deliver necessary information and invoices to accounting
  • assists in creation and execution of event themes and space layouts
  • reviews staging, staffing, transportation, delivery, set-up, and breakdown of props, decor, and supplies
  • sets up client meetings and event schedules
  • organizes materials and books third-party services
  • coordinates client services regarding invitations, signage, programs, graphics, entertainment within budget
  • on-site for event set-up to ensure execution as sold
  • determines appropriate responses to problems and emergencies during events
  • provides project status updates to senior operations director
  • provides weekly event calendar updates
  • develops detailed timeline for events to distribute pertinent information
  • submits final billing to client and accounting within 5 days of event completion
