The Event Sales Coordinator role at Invited is a key position within the event sales team, playing a crucial part in ensuring seamless event planning and execution. Reporting directly to the Event Sales Director, the Coordinator collaborates closely with the Event Sales Manager to support various facets of event sales and client relationship management. Responsibilities include maintaining accurate client records, assisting in prospect development, managing event-related documentation such as proposals, contracts, and floor plans, and coordinating logistics with the kitchen and service teams. The position also entails managing event supplies and inventory, working with the accounting team to handle financial tracking related to events, and participating actively in sales and event meetings. Job Requirements

  • High school diploma or equivalent
  • Minimum 1 year experience in customer-facing or sales support role in hospitality or events industry
  • Ability to stand, walk, and perform physical activities for extended periods
  • Ability to work in varying temperatures and environments with possible exposure to dust, fumes, or gases
  • Capable of climbing ladders, squatting, kneeling, reaching, grasping, twisting, bending, and folding/unfolding as required
  • Able to lift, carry, push, and pull up to 25 lbs occasionally
  • Effective talking and hearing communication skills with sufficient visual acuity
  • Attendance requirements including weekends and holidays to meet position deadlines

Job Qualifications

  • High school diploma or equivalent
  • Minimum 1 year experience in customer-facing or sales support role in hospitality or events industry
  • Preferred college coursework in hospitality, marketing, or related field
  • Basic understanding of marketing and prospecting strategies
  • Basic understanding of Microsoft Office and event management software
  • Strong organizational skills and attention to detail
  • Effective verbal and written communication skills
  • Ability to work collaboratively within a team environment

Job Duties

  • Assist the Event Sales Manager with coordination and execution of event sales including managing event details, logistics, and client communication
  • Serve as the primary point of contact for clients during event planning ensuring client needs and preferences are documented and communicated
  • Support creation and distribution of event proposals, contracts, event orders, floor plans, and diagrams ensuring accuracy and attention to detail
  • Maintain and update client database with accurate information and assist in developing prospect inventory
  • Ensure all event-related documents, including contracts and payment records, are properly filed and organized
  • Assist with basic financial tracking such as recording deposits and payments in coordination with accounting
  • Manage event supplies and inventory, coordinating with vendors as needed
  • Coordinate with kitchen and service teams to communicate and execute event details
  • Participate in sales and event meetings providing updates on event status and client interactions
  • Provide administrative support to Event Sales Manager and Director as needed
  • Assist others and take on additional tasks as assigned by management
  • Follow all company, club, and department policies and procedures
  • Maintain professionalism and commitment to excellence in interactions
  • Follow safety guidelines and encourage others to do the same
  • Take initiative in personal and professional growth and maintain required certifications
  • Address and resolve challenges using available resources
  • Attend daily briefings and engage in required activities to contribute to team success
