The role of Event Sales Coordinator at Invited is instrumental in enhancing the event sales operations within the club environment. Reporting directly to the Event Sales Director, the Coordinator plays a vital role in supporting the strategic goals of the event sales department by meticulously managing event details from the initial inquiry phase through to the successful execution of events. This position requires close collaboration with the Event Sales Manager and various internal departments to ensure seamless communication and coordination. Responsibilities include administrative support, maintaining accurate client records, managing logistics, assisting in the development of event proposals, and overseeing the flow of event-related information to relevant stakeholders.
The Event Sales Coordinator contributes significantly to client satisfaction by serving as the primary point of contact during the event planning process, ensuring that the unique preferences and needs of clients are captured and met with professionalism and attention to detail. The role also involves supporting financial tracking activities, managing event inventories, and liaising with kitchen and service teams to guarantee event success. Beyond event coordination, the position demands adaptability and a proactive approach in a dynamic club setting, often assisting with additional tasks as necessary and adhering strictly to company policies and safety standards.
Candidates for this role should be equipped with a high school diploma or equivalent and possess at least one year of experience in customer-facing or sales support roles within the hospitality or events sector. Job Requirements
- high school diploma or equivalent
- minimum of 1 year experience in customer-facing or sales support role in hospitality or events industry
- physical ability to stand, walk, perform physical activities for extended periods
- ability to work in varying temperatures and environments
- capability to lift, carry, push, and pull up to 25 lbs occasionally
- effective communication skills including talking and hearing
- sufficient visual acuity
- ability to climb ladders, squat, kneel, reach, grasp, twist, bend, and fold/unfold as required
- willingness to work additional hours including weekends and holidays as needed
Job Qualifications

Job Duties
- assist the Event Sales Manager with the coordination and execution of event sales
- serve as the primary point of contact for clients during the event planning process
- support the creation and distribution of event proposals, contracts, event orders, floor plans and diagrams
- maintain and update the client database with accurate information
- ensure all event-related documents are properly filed and organized
- assist with basic financial tracking such as recording deposits and payments
- manage event supplies and inventory coordinating with vendors as needed
- coordinate with kitchen and service teams to ensure event details are communicated and executed
- participate in regular sales and event meetings providing updates
- provide general administrative support to the Event Sales Manager and Director as needed
