Job Description
The Shreveport Convention Center is a premier event and conference facility managed by SMG, a global leader in venue management. Known for hosting a wide array of events ranging from local business meetings, conventions, trade shows, to large-scale productions, the Shreveport Convention Center offers state-of-the-art amenities and flexible meeting spaces to accommodate diverse client needs. The Shreveport Convention Center is currently seeking a dedicated Sales and Marketing Coordinator to join their dynamic team. This is a salaried exempt position reporting directly to the Director of Sales and Marketing. The role primarily focuses on managing sales and marketing functions to optimize effectiveness, with particular emphasis on promoting the facility to the local business market. The Sales Coordinator will maintain and update the booking system for the convention center, ensuring accurate data to maximize the use of meeting and exhibit spaces.
As a Sales and Marketing Coordinator, you will play a critical role in supporting the Director of Sales and Marketing by handling a variety of administrative and operational tasks. Your responsibilities will include managing sales collateral inventory, coordinating booking information, tracking contracts, deposits, and insurance documentation, and serving as a liaison with SMG's Corporate MIS Department. This position demands a professional attitude when interacting with clients, vendors, facility staff, and senior management, as you will be the initial point of contact for event inquiries and will assist with managing client requests efficiently.
Additionally, the role involves creating and maintaining event files, developing event flyers for display boards, and assisting in contract creation and calendar management. Organizational skills are vital as you will manage file systems and ensure smooth information flow within the sales and marketing department. Weekly participation in production meetings is also required to stay aligned with broader team efforts and event execution.
The ideal candidate will have a Bachelor's degree or equivalent experience in a related field and at least one year of industry-related experience. Proficiency in Microsoft Office applications, especially Excel and Word, along with excellent interpersonal and communication skills, are essential for success. The ability to manage time effectively in a fast-paced environment while prioritizing tasks will enable you to contribute meaningfully to the goals of the Shreveport Convention Center.

Job Requirements
- Bachelor’s degree or equivalent required
- Minimum one year of related industry experience preferred
- Proficient in Microsoft Office applications including Excel and Word
- Strong communication skills both oral and written
- Excellent organizational and time management abilities
- Ability to manage multiple priorities in a fast-paced environment
- Professional demeanor and interpersonal skills
Job Qualifications
- B.A./B.S. degree or equivalent preferred
- Minimum one year industry-related experience preferred
- Excellent interpersonal and communication skills, oral and written
- Basic computer skills including experience with Excel and Microsoft Word

- Flexibility and ability to prioritize responsibilities in a fast-paced environment
Job Duties
- Maintains sales collateral inventory and advises Director when additional materials are needed
- Coordinates and manages all information input into the facility’s booking system including revising and updating booking data
- Tracks contracts, rental deposits, insurance payments and insurance certificates
- Provides Director and other sales personnel with regular updates on outstanding contracts, deposits and certificates of insurance
- Serves as a liaison with Director and SMG’s Corporate MIS Department regarding booking procedures and system issues
- Provides assistance to Sales & Marketing department by taking booking requests and information from prospective clients
- Creates and maintains event files
- Handles telephone inquiries professionally from prospective clients, maintaining good relationships with clients, vendors, and facility staff
- Follows up with client requests for information
- Manages all administrative activities related to sales efforts including updating booking information, maintaining customer database, and running reports
- Creates event flyers for display on Daktronics and Indoor Boards and maintains event boards
- Checks references on Promoter Applications
- Creates contracts, prints calendars, and places holds on booking system for Director
- Manages file cabinets, moving old files to make room for new ones
- Attends weekly production meetings
- Performs all other duties as assigned by Director of Sales
