The Event Program Coordinator for Executive Education at MIT Sloan plays a crucial role in ensuring the seamless execution of educational programs from start to finish. This position requires a meticulous and adaptable professional capable of managing multiple facets of event planning and program delivery. Responsibilities include coordinating every stage of the event lifecycle such as pre-event preparations, on-site management, and post-event follow-up. The coordinator must skillfully pivot between tasks related to both live in-person and online program deliveries, providing robust logistical support that meets high standards of quality and customer service.

A key part of the role involves organizing catering for on-site events including dinners and receptions, sourcing and negotiating contracts with external vendors, and ensuring all agreements are cost-effective while maintaining program excellence. The coordinator also manages the technical components of live online events, addressing participant issues in real-time, training faculty on technology platforms, exploring new technological tools for enhanced delivery, and performing video editing to support program needs.

Given the complexity of the programs, the coordinator must adeptly balance overlapping schedules and competing deadlines, maintaining clear communication channels across multiple stakeholders including program participants, faculty, clients, and internal teams. Active participation in cross-functional project teams is essential to foster continuous improvement of program operations and the overall participant experience.

The role also involves maintaining program content on websites, managing learning management systems, and using complex databases to ensure all information is accurate and up to date. Budget collaboration is another critical aspect, involving forecasting expenses related to logistics, managing program budgets, and conducting post-program reconciliations. Job Duties

  • manage logistics including pre, post, and on-site coordination of full event lifecycle
  • pivot easily between the different tasks required for planning on-site and live online program deliveries
  • organize catering needs for on-site programs including dinners and receptions
  • arrange external program vendors and negotiate all contracts and pricing
  • manage all technical aspects of live online program deliveries including participant troubleshooting, faculty training, platform exploration, and video editing
  • balance the requirements of numerous programs in varied stages of planning and with overlapping schedules and deadlines
  • participate in cross-functional project teams and proactively engage in continuous improvement of program operations
  • communicate with participants and clients in addition to providing a high level of support for all program faculty
  • collect, upload, and maintain all program website information and materials
  • use complex databases and learning management systems to ensure a superior customer experience
  • collaborate on the development and management of the program budget
  • forecast all projected program expenses as related to logistics
  • reconcile and balance budget post program
