The University Marketing and Communications department at Fresno Pacific University is currently seeking a dedicated Event Production Coordinator to join their team on a full-time basis. This role is pivotal in organizing and preparing university venues for a wide array of events, including meetings, conferences, performances, and special functions. Reporting directly to the Director of University Events, the Event Production Coordinator collaborates closely with various stakeholders such as faculty, staff, students, and external guests to ensure the smooth execution of all events in alignment with the institution's objectives. Essential duties include the management of event logistics, coordination with vendors, and oversight of staging, lighting, and audio/visual setups.
The position demands strong organizational skills and the ability to multitask effectively, managing multiple projects independently. The Event Production Coordinator is responsible for the complete lifecycle of events from initial planning through post-event evaluation, including the design and operation of event spaces and resources such as room layouts and stage plots. This role also entails supervising workers including student and volunteer staff, managing internal billing and financial reporting related to events, and implementing new procedures to optimize event planning. Flexibility is key, as the coordinator must be available to work various shifts including evenings, weekends, and holidays to accommodate university event schedules.

Job Requirements
- Minimum five years' experience in stage management, theater production or special event set-up and operations
- minimum two years' experience in a supervisory role or position
- proficiency in standard office software including Word, Excel, and Outlook
- customer service orientation and effective communication skills
- attendance and punctuality
- strong communication and interpersonal skills
- familiarity and knowledge of event technology including sound, lighting, live streaming, and event registration platforms
- adept experience with lighting and sound systems, staging and scenery
- ability to travel as necessary for out-of-town appointments, meetings, and conferences
- valid California driver's license

Job Duties
- Collaborates and provides support in the planning of events from initial conception through execution and post-event evaluation
- design, fabricate, and operate staging, lighting, and audio/visual set-ups
- collaborate with campus departments to coordinate event operation resources and details
- communicate and manage expectations with various stakeholders including students, staff, faculty, and guests
- manage and assist with the set-up, tear-down, operation, maintenance, storage and inventory control of event-related equipment
- manage large scale events and multiple priorities
- effectively schedule and supervise workers including student and volunteer staff performing on-site technical work
- manage internal billing and financial reporting for events
- assist in purchasing sound, lighting, A/V, and other equipment
- facilitate and coordinate use of outside vendors ensuring compliance with university policy
- implement new procedures to optimize event planning processes
- demonstrate strong organizational skills and attention to detail
- perform and supervise specialized training of staff, contractors, and volunteers
- work various shifts including nights, weekends, and holidays as required
- uphold the mission, vision, and values of Fresno Pacific University and integrate Christian faith into the role
- complete tasks timely with comprehensive and accurate work
- communicate clearly and collaborate productively with colleagues
