This hybrid role, based near Atlanta, is designed for candidates who thrive in both collaborative office environments and dynamic, on-site event settings. The successful candidate will work 2-3 days per week in the office and be responsible for the logistical management and operational execution of client events and programs. As the primary client contact post-sale, this role demands exceptional organizational skills and a commitment to exceeding client expectations to ensure satisfaction and promote account retention. In this role, you will manage the full scope of event operations from pre-planning through delivery, overseeing supplier partnerships, negotiating contracts, managing budgets, and leading a team of field staff.

The position requires close collaboration with sales teams to understand client requirements and ongoing management of program changes. The role includes responsibilities such as confirming orders, maintaining supplier relationships, processing billing and payments, and ensuring comprehensive communication among all stakeholders including clients, venues, and internal teams. Operational leadership extends to preparing detailed program materials, assigning field staff duties, and managing payroll and expenses. Additionally, this role supports experience designers to align event logistics with creative objectives and maintains rigorous documentation and reporting to track program performance and profitability.

Candidates should possess strong interpersonal skills, able to navigate diverse client and vendor relationships efficiently. Experience in managing complex corporate meetings or events, specifically within the DMC, corporate incentive travel, or hospitality sectors, is highly valued. Flexibility with work hours, including weekends and holidays, as well as a willingness to travel occasionally, is necessary for success. The position also requires a thorough knowledge of local venues, attractions, hotels, and supplier options to source and vet new partners effectively.

Job Requirements

  • Must be based in or near Atlanta
  • bachelor's degree or equivalent relevant experience
  • minimum three years experience in managing corporate meetings, client events or complex programs
  • experience in DMC, incentive travel or hospitality preferred
  • strong organizational and communication skills
  • ability to read and interpret contracts and financial documentation
  • flexible availability including weekends, evenings and holidays
  • ability to travel occasionally to support region and company operations
  • proficiency in managing staff and supplier relationships
  • ability to multitask and meet deadlines

Job Qualifications

Job Duties

  • Responsible for the logistical management and operational execution of client events and programs
  • serves as primary contact for the client during pre-planning and operation of the program post-sale
  • meets with sales team to review client program details and manages program changes pre-planning and on-site while negotiating and up-selling
  • manages expected gross margin for events once contracted
  • orders, confirms and re-confirms all suppliers, develops supplier relationships, negotiates and contracts terms of service and price
  • ensures deposits and billing are processed as contracted
  • determines field staff work assignments based on schedule and staffing needs
  • prepares and distributes trip sheets and relevant program information for field staff
  • participates in recruiting and training field staff
  • coordinates and processes all field staff compensation paperwork
  • maintains inventory of field staff uniforms and coordinates purchases
  • completes all program production paperwork, including trip sheets, check requests, service agreements, invoicing, job costing, and expense reports
  • assists experience designers with program development according to client specifications
  • manages cost preparation, program summaries, deposit invoices, and service agreements
  • forwards necessary program information to hotels and venues
  • conducts pre-con meetings with clients and hotels
  • keeps sales managers informed of opportunities and program changes and takes corrective action to ensure successful delivery of client objectives
