This hybrid role offers an exciting opportunity for an experienced Event Operations Manager to join PRA, working two days per week in the Orlando office on average. Applicants must be located in or near Orlando to be eligible. The candidate will assume primary responsibility for the logistical management and operational execution of client events and programs, serving as the main client contact post-sale to ensure expectations are exceeded and account retention is maximized. The role requires coordination with sales teams, negotiation with suppliers, management of event gross margins, and seamless on-site program execution. The successful candidate will develop strong relationships with vendors, manage field staff assignments, and oversee comprehensive program paperwork and financial documentation. This position demands excellent multitasking skills, strong interpersonal communication, an ability to read and interpret contracts and financial reports, and a flexible schedule that can accommodate evenings, weekends, holidays, and some travel. Job Requirements

  • based in or near Orlando
  • bachelor's degree or equivalent relevant experience
  • minimum 3 years of relevant experience in corporate event management
  • availability to work hybrid schedule including 2 days per week in office
  • ability to manage operations functions and supervise field staff
  • excellent communication and interpersonal skills
  • ability to analyze and interpret client proposals and contracts
  • must be flexible to work weekends, evenings and holidays
  • able to multitask and handle multiple programs
  • willing to travel occasionally
  • knowledge of local event venues and supplier partners
  • strong negotiation and organizational skills

Job Qualifications

  • Bachelor's degree or equivalent relevant experience
  • minimum 3 years of experience managing corporate meetings, client events, or complex programs
  • experience in DMC, corporate incentive travel, or hospitality preferred
  • strong operations management skills
  • ability to supervise and direct field staff effectively
  • excellent interpersonal and communication skills
  • ability to analyze and interpret contracts and financial reports
  • skilled in client presentations and negotiations
  • proven multitasking abilities
  • knowledge of local attractions, hotels, parks, venues and supplier partners
  • willingness to work flexible hours including weekends, evenings and holidays

Job Duties

  • Responsible for the logistical management and operational execution of client events and programs
  • serves as the primary contact for the client during the pre-planning and operation post-sale
  • meets with sales team to review client program details
  • manages program changes during planning and on-site, negotiating and up-selling
  • responsible for managing expected gross margin for events
  • orders and confirms all suppliers, negotiates and contracts terms
  • ensures deposits are received and billing is completed
  • determines field staff assignments and prepares trip sheets
  • participates in recruiting and training field staff
  • coordinates and processes field staff paperwork including timesheets and expense reports
  • maintains inventory of field staff uniforms and materials
  • completes all program production paperwork
  • assists experience designers with program development
  • manages cost preparation and program summaries
  • forwards necessary program information to hotel and venue representatives
  • conducts pre-con meetings with clients and hotels
  • keeps sales managers informed of opportunities and program changes
  • takes corrective action to ensure successful delivery of client objectives
