We are seeking an Event Planning Specialist to join our dynamic team. This full-time position offers a base salary ranging from $57,400 to $98,350 USD, depending on the candidate’s skills, experience, and hiring location. The role is also eligible for bonus compensation, adding to the competitive total rewards package. As an Event Planning Specialist, you will play a vital role in supporting the planning and execution of company-hosted internal events as well as external client-facing events. This hands-on position involves working closely under the guidance of senior Event and Attendee Managers to ensure seamless operational coordination and logistical support.

Your responsibilities will include managing comprehensive event logistics, such as researching and sourcing venues and vendors, coordinating the onboarding of vendors, processing contracts, and tracking payments in alignment with internal policies and timelines. Registration and attendee management form a significant portion of this role. You will oversee registration setup, communicate with attendees via event management platforms (notably Cvent), and ensure the accuracy of attendee manifests, registration data, and hotel rooming lists.

Additionally, you will handle practical logistics like transportation, shipping, setup, tear-down, and on-site operations, which may require travel to event locations approximately 50% of the time to ensure smooth execution. Budget tracking and reporting are also part of your duties, requiring you to identify any financial discrepancies and escalate them appropriately. After each event, you will collect and organize feedback and assist with evaluating event success to inform continuous improvement.

This role demands excellent multitasking abilities to manage deadlines and priorities effectively, strong attention to detail in managing contracts, payments, and registration documentation, and clear, professional communication skills for creating internal decks and providing regular updates to stakeholders. Previous experience with event budgeting, reconciliation, and knowledge of event operational workflows including trade shows, contracts, and vendor management is essential. While holding a Certified Meeting Professional (CMP) certification is advantageous, it is not mandatory.
