The Trade Show & Event Planning Specialist role at Wolters Kluwer is a pivotal support position within the Events team. This role works primarily alongside senior Event and Attendee Managers to plan and execute a wide range of company-hosted internal events and external client-facing events. Additionally, the position supports trade show coordination as required. Key responsibilities include managing the administrative and logistical aspects of events such as vendor onboarding, contract processing, payment coordination, on-site registration, and overall event logistics. The Specialist also conducts thorough research for venues and vendors, prepares internal presentations, and manages elements like amenities, off-site functions, and team-building activities. This role requires strong organizational skills and attention to detail to ensure smooth, accurate execution and a consistent attendee experience across various event types.

Serving as a lead planner for smaller Tier 3 events, this position balances independent event management responsibilities with collaborative support for larger initiatives led by senior team members. Regular travel—approximately 50% of the time—is necessary to support on-site event delivery and ensure seamless operational success. The role demands adaptability, strong communication skills, proficiency with event management tools such as Cvent, and an understanding of budgets and financial tracking to assist with event budget reconciliation. Ideal candidates will bring at least five years of event planning or coordination experience, demonstrating their ability to multitask across competing priorities in fast-paced environments. This role offers a salary range of $57,400 to $98,350 USD annually and is eligible for bonuses, reflecting the critical contribution it makes to the company’s event portfolio and overall business objectives. Job Requirements

  • Minimum of 5 years of experience in event planning, event operations, or event coordination roles
  • Proficiency with event management, registration, and budgeting tools, with a strong emphasis on Cvent
  • Understanding of operational workflows supporting internal events, external client-facing events, and trade shows, including contracts, payments, vendor coordination, and on-site logistics
  • Ability to manage multiple support tasks, timelines, and priorities simultaneously
  • Experience working with vendors and internal teams to support contracting and payment processes
  • Strong accuracy when managing registration data, attendee lists, rooming lists, and financial documentation
  • Clear written and verbal communication skills
  • Basic experience supporting event budget tracking and reconciliation
  • Ability to respond effectively to changing priorities and on-site needs in a fast-paced event environment
  • Willingness and ability to travel approximately 50 percent of the time to support on-site event execution

Job Qualifications

  • Strong accuracy when managing registration data, attendee lists, rooming lists, and financial documentation
  • Clear written and verbal communication skills, including the ability to create internal decks and provide status updates to stakeholders
  • Basic experience supporting event budget tracking and reconciliation
  • Ability to respond effectively to changing priorities and on-site needs in a fast-paced event environment
  • CMP (Certified Meeting Professional) certification is nice to have but not required
  • Willingness and ability to travel approximately 50 percent of the time to support on-site event execution

Job Duties

  • Support senior Event Managers in the planning and execution of company-hosted internal events and external client-facing events
  • provide additional support for trade shows as needed
  • Serve as lead planner for smaller Tier 3 events, managing logistics from planning through on-site execution
  • Assist with researching and sourcing event venues, vendors, gifting, branding, etc.
  • develop summaries and presentation materials for internal review
  • Coordinate administrative event functions including vendor onboarding, contract processing, and payment tracking in accordance with internal policies and timelines
  • Support registration setup, attendee communications, and on-site registration using event management platforms
  • Review and cross-check attendee manifests, registration data, and hotel rooming lists for accuracy and completeness
  • Coordinate event logistics such as transportation, shipping, setup, tear-down, and on-site operations
  • travel onsite for events as required
  • Support Event Managers and Attendee Managers across all event phases, providing flexible and general event support as needed
  • Assist with budget tracking and reporting, identifying discrepancies or issues for escalation to senior team members
  • Collect and organize post-event feedback and assist with reporting and evaluations
  • Facilitate communication among internal teams, vendors, and event partners to support seamless execution
