The Event Planning Specialist position at AmTrust plays a crucial role in elevating the company’s brand presence and enhancing employee engagement and partner experiences through meticulously planned and executed events. This is a hybrid role, based out of one of AmTrust’s offices, allowing for a combination of remote work and onsite collaboration. The role is designed to oversee the end-to-end management of internal and external events, from initial design to flawless execution. This includes face-to-face events, virtual programs, and hybrid gatherings that align strategically with AmTrust’s mission, values, and high standards.

As an Event Planning Specialist, the successful candidate will be responsible for delivering seamless event experiences by coordinating logistics, managing budgets, securing venues, and handling vendor relations. The Specialist will administer registration systems, event applications, surveys, signage, and onsite support to ensure every detail aligns with organizational goals. Collaboration is a vital aspect of this role, requiring continuous partnership with internal teams, senior leadership, and external vendors to maintain clarity on objectives and expectations throughout the event lifecycle.

Leadership responsibilities also feature prominently, such as guiding and mentoring junior staff like producers or coordinators involved in meetings and events. Job Qualifications

  • bachelor’s degree in communications, hospitality, marketing, public relations, or related field preferred
  • experience with financial planning, budgeting, and marketing support preferred
  • familiarity with event technology platforms, virtual meeting tools, and professional systems such as Cvent, Copilot, SurveyMonkey, Qualtrics, Ironclad, Concur, and Oracle preferred

Job Duties

  • design, coordinate, and execute internal and external events including face-to-face, hybrid, and virtual programs
  • administer registration systems, event apps, surveys, signage, and on-site logistics
  • source and secure venues, negotiate contracts, and manage food and beverage, transportation, and production requirements
  • develop and oversee event budgets ensuring accurate tracking and reconciliation
  • direct vendor relationships, review and negotiate contracts, and manage accounts payable
  • monitor and enforce cost-control practices and company financial policies
  • partner with internal teams, executives, and external vendors to align event objectives, timelines, and expectations
  • advise stakeholders throughout the event lifecycle to ensure professional, high-quality attendee experience
  • guide, train, and support the producer and or coordinator for meetings and events
  • champion best practices and contribute to continuous improvement efforts across the department
  • stay current with hospitality trends, venues, emerging technologies, and industry best practices
  • introduce and apply innovative ideas to enhance program effectiveness and attendee engagement
