The Event Planning Manager at Dreamscape plays a crucial role in ensuring that group events and meetings are executed flawlessly, providing a seamless and positive experience for clients and attendees alike. This position focuses primarily on managing sales bookings and acting as a liaison between meeting planners and the hotel staff. Key responsibilities include reviewing sales agreements, coordinating details related to food and beverage, audio-visual needs, managing room blocks, handling billing instructions, and maintaining ongoing communication with clients and hotel departments. The manager is responsible for the timely and accurate creation of event documentation such as event orders, resumes, invoices, diagrams, and ensuring compliance with necessary approvals like fire marshal clearances.
Additionally, the Event Planning Manager is the onsite contract representative who oversees the smooth execution of all events, collaborating closely with the Director of Event Planning and Banquets to meet the hotel’s revenue targets, client satisfaction goals, and food and beverage revenue objectives. The role involves forecasting group room blocks and food and beverage revenue, monitoring contractual obligations, and making necessary adjustments in partnership with sales, revenue management, and group reservations to optimize hotel revenue. The manager also coordinates with various hotel departments to fulfill client requirements, leads pre- and post-event meetings, facilitates site visits, and gathers client feedback to improve hotel services continuously.
This role requires a mix of creativity, strategic planning, detailed communication, and the ability to work under pressure while managing multiple tasks independently. The ideal candidate will have experience in hotel catering or convention services, preferably in a resort or convention-centered property, combined with strong organizational and interpersonal skills. The position demands proficiency with systems like Delphi or Envision Sales and Catering software and basic audio-visual knowledge. Given the nature of events management, a flexible schedule including evenings, weekends, and holidays is necessary to support the hotel’s needs consistently.

Job Requirements
- Bachelor's degree in hotel or business administration preferred
- Two plus years experience in hotel catering or convention services or related hospitality experience
- Proficient in Microsoft Office products
- Knowledge of Delphi or Envision Sales and Catering systems
- Ability to work a flexible schedule including evenings, weekends, and holidays
- Strong verbal and written communication skills
- Ability to manage multiple tasks and work independently
- Good organizational and presentation skills
- Ability to work well under pressure and maintain composure
- Basic understanding of audio-visual equipment preferred
