The Event Planning Manager at Thompson plays a vital role in sustaining this reputation by overseeing the entire planning and execution of group meetings and events. In this role, the Event Planning Manager is responsible for generating detailed banquet event orders and coordinating with various hotel departments, including Food and Beverage, to ensure flawless execution. They assist with developing marketing strategies aimed at increasing catering revenues and optimizing room rental charges and upsell opportunities, contributing directly to the hotel's profitability. Additionally, the position involves participation in forecasting and budgeting processes, as well as handling special projects as assigned by senior sales and marketing leadership.

Customer satisfaction is paramount; the Event Planning Manager manages all aspects of group meeting spaces and identifies operational challenges, collaborating with property staff and clients to devise effective solutions. The role also requires conducting site inspections, leading pre-event and post-event meetings, and overseeing billing accuracy by reviewing final invoices with clients. This attention to detail ensures client expectations are met and enhances overall event quality. Job Requirements

  • High school diploma or equivalent
  • 1-3 years of experience in hotel event sales or event planning or comparable role
  • Proficient in general computer knowledge
  • Strong organizational skills and attention to detail
  • Ability to work in a fast paced hospitality environment
  • Excellent verbal and written communication skills
  • Ability to collaborate with multiple departments and clients effectively

Job Qualifications

  • A true desire to satisfy the needs of others in a fast paced environment
  • Refined verbal and written communication skills
  • A minimum of 1-3 years of hotel event sales/event planning or comparable experience preferred
  • Must be proficient in general computer knowledge
  • Candidates should be extremely detail oriented, organized and be able to handle a fast paced environment
  • Prefer two years hotel experience or completed event management trainee program
  • Preferd candidate has completed PSS or equivalent training

Job Duties

  • Generate detailed banquet event orders and communicate with hotel as well as food and beverage department heads
  • Assist in the development and implementation of effective marketing plans for generating catering revenues
  • Optimize room rental charges and event upsell opportunities
  • Assist with the monthly forecasting and the annual budget process
  • Handle special projects as requested by the sales manager, marketing manager and director of sales
  • Ensure that events progress seamlessly by following established procedures, collaborating with other employees, and ensuring accuracy
  • Greet customer during the event phase and hands-off to the event operations team for the execution of details
  • Ensure billing accuracy and conducts bill reviews with the clients prior to processing the final bill
  • Manage group meeting space for groups and events
  • Identify operational challenges associated with his/her group and determines how to best work with the property staff and customer to solve these challenges and/or develop alternative solutions
  • Participate in customer site inspections and assists with the sales process as necessary
  • Lead formal pre-event and post-event meetings for small to average-sized assigned groups
  • Facilitate banquet event order and resume meetings
  • All other duties as assigned by leadership
