The Event Planning Coordinator role at Hyatt Regency Chesapeake Bay Golf Resort, Spa and Marina is crucial to the successful execution of various events hosted at the property, such as meetings, conferences, weddings, and special events. This position acts as the essential link between clients and the internal teams, ensuring event plans are flawlessly executed from initial booking through to final billing. The coordinator works closely with clients to understand their needs, preferences, and budget, then translates these into detailed event orders and banquet event sheets to guide the operational staff.

Administrative functions include managing event contracts, tracking deposits, assisting with billing, and preparing post-event reports to improve service standards. This role is ideal for individuals with 1 to 3 years of event coordination experience, preferably in a hotel or hospitality setting, who possess strong organizational and multitasking abilities with keen attention to detail. Proficiency in Microsoft Office and event management software such as Delphi and Opera is necessary. Flexibility to work evenings, weekends, and holidays is required based on event schedules. Job Duties

- Maintain event files, contracts, and correspondence with clients
- Support the sales team in preparing proposals and event quotations

- Compile post-event reports and gather guest feedback for continuous improvement
- Anticipate client needs and ensure prompt, courteous responses
