Job Description

The American Heart Association is currently seeking an Event Planning Coordinator to join their team in a home-office capacity in the Hampton Roads area of Virginia. This role supports campaign events throughout Virginia and requires periodic travel for events and meetings. The Event Planning Coordinator plays a vital role in the fundraising and donor engagement efforts by managing event logistics, coordinating with vendors and volunteers, processing payments, and maintaining accurate event data. The position involves a diverse range of responsibilities, from planning donor receptions and gala experiences to handling digital and virtual event production elements. The Coordinator ensures seamless execution of events by managing details related to venues, catering, entertainment, and AV requirements, always following risk reduction and compliance procedures.

The role also encompasses a strong data management component. The Coordinator will meticulously collect, organize, and analyze event-related data, such as guest information, auction item details, donation tracking, and financial reporting to support successful campaign results. These tasks require a high level of attention to detail, accuracy, and organizational skills. Financial responsibilities include reviewing campaign revenue reports, collaborating to resolve financial discrepancies, processing payments for vendors, monitoring budgets, and adhering to the American Heart Association’s funds handling and PCI procedures for transactions.

Apart from event-related duties, the position offers significant opportunities for internal collaboration and support. The Event Planning Coordinator works closely with directors, volunteers, and multiple departments to maintain open communication and ensure objectives are met. Additional responsibilities include preparing presentations, meeting minutes, correspondence, and other documentation to support leadership and board meetings. Job Qualifications

  • at least three years of experience in administrative work, project coordination, or event management systems with strong attention to detail

  • demonstrated ability to multitask effectively
  • intermediate skills in PowerPoint, Word, and Excel, with advanced skills preferred

Job Duties

  • Coordinate logistical aspects of assigned events, ensuring seamless execution from start to finish
  • proactively research, secure, and lead vendors for event services, ensuring cost-effective solutions and compliance with Association guidelines
  • plan and coordinate event details including venues, catering, entertainment, AV, and staging while securing necessary legal approvals
  • implement Association risk reduction procedures to ensure safety and success of events
  • recruit, schedule, and train volunteers to assist with projects and events
  • attend events to manage setup, execution, and teardown
  • act as point of contact for vendors, supporters, sponsors, volunteers, and attendees providing exceptional service and support
  • prepare ADA-compliant digital event communications in coordination with marketing teams
  • manage virtual event production including coordinating content and providing technical support
  • collect, organize, enter, and maintain event data including guest information and sponsorship details
  • oversee auction item data collection and entry ensuring compliance
  • track donations and revenue to ensure accurate financial records
  • generate reports from various event management systems
  • review financial campaign revenue reports, accounts receivable, and payable
  • research customer discrepancies and past-due amounts with accounting staff
  • input payment requests for vendor contracts and invoices
  • monitor and manage event budgets adhering to financial guidelines
  • adhere to Funds Handling and PCI Procedures for transactions
  • maintain regular communication with directors and volunteers
  • respond promptly to internal and external customer inquiries
  • assist in coordination and execution of leadership and board meetings
  • prepare presentations, correspondence, and documentation including meeting minutes
  • work independently and as part of a team on special projects
