Job Requirements

  • High school diploma or equivalent
  • At least 3 years of relevant work experience
  • Strong attention to detail
  • Excellent organizational skills
  • Ability to communicate effectively verbally and non-verbally
  • Ability to prioritize and make decisions
  • Capacity to work independently and manage multiple tasks and areas
  • Proficiency with Microsoft Office
  • Ability to work beyond standard office hours
  • Willingness to travel periodically
  • Ability to lift and move large objects with assistance if needed

Job Qualifications

  • High school diploma or equivalent
  • Minimum 3 years of relevant event planning or coordination experience
  • Strong organizational and time management skills
  • Excellent verbal and non-verbal communication abilities
  • Ability to prioritize tasks and develop effective solutions
  • Proficiency in Microsoft Office applications including Word, Excel, PowerPoint, Publisher, and Outlook
  • Ability to work independently and manage multiple jurisdictions simultaneously
  • Flexibility to work outside standard hours including evenings and weekends
  • Willingness and ability to travel as required
  • Physical ability to lift and move large objects when necessary

Job Duties

  • Coordinate logistics for large fundraising events such as Heart Walk, Go Red for Women Luncheon, and Heart Ball including infrastructure, lighting, sound, food, and beverage
  • Prepare, edit, and maintain fundraising materials, presentations, and event marketing collateral
  • Coordinate the vendor contract process and ensure adherence to American Heart Association guidelines and contractual obligations
  • Collaborate with staff and volunteers for core event execution including volunteer and speaker coordination, production support, and communications
  • Monitor event budgets, coordinate expenses with Data Specialist Team, track invoicing and prepare financial reports
  • Organize and communicate schedules and meetings to meet event deadlines
  • Train volunteers and serve as volunteer liaison during events
  • Travel periodically within assigned geographical territory for event support
