The company is currently seeking a full-time Event Planner based in Dickinson, TX or Farmers Branch, TX with a hybrid work schedule. This role involves working Monday through Thursday from 8 AM to 5 PM in the office and Fridays from 8 AM to 5 PM remotely, with travel requirements to attend events and staff meetings. The Event Planner position is crucial within the Varsity All Star Regional Operations team, tasked with achieving operational efficiency in their region. This analytical, organized, and process-driven professional will coordinate all travel and lodging arrangements for event personnel, manage event payroll administration, monitor staffing hours and labor compliance, audit payroll records, and partner with event leadership to ensure smooth operations. The role demands proactive adjustments to travel and schedules to align with operational goals and requires maintaining strong relationships with event groups and staff to enhance retention. Further responsibilities include organizing ground transportation, assisting in budgeting and financial forecasting, and serving in a mid-level management or support role during events.
Key skills and knowledge areas for this role include proficiency in Salesforce, UKG, Workday, Varsity University LMS, and Concur for data management and reporting. Strong capabilities in Microsoft Excel, SharePoint, Adobe, and other Microsoft Office applications are essential. Excellent communication skills, both verbal and written, and the ability to work independently and collaboratively are required. The candidate must be capable of multitasking and managing time effectively with keen attention to detail and organizational skills. Educational qualifications include a bachelor’s degree in business or a related field or equivalent work experience, with a preference for candidates with at least three years of events experience, particularly in cheer or dance contexts.
Physical demands vary from sedentary office work to active event participation requiring standing, walking for extended periods, and handling equipment weighing at least 30 lbs. Job Duties
- Coordinate all travel and lodging arrangements for event personnel including staff, judges, and other event support roles
- work closely with external suppliers and vendors such as hotels and travel agencies
- serve as the primary point of contact for event timekeeping and payroll administration ensuring accurate, compliant, and timely processing
- monitor staffing hours, schedules, overtime, and meal/rest break compliance
- audit timecards and payroll records resolving discrepancies and ensuring corrections before payroll deadlines
- partner with event leadership and managers to support timecard approvals, labor budget adherence, and compliance with timekeeping policies
- communicate travel and event information to staff and judges prior to events
- assist with collaborating with the Event Coordinator and other office staff to ensure best practices
- manage internal ticket systems and admissions reporting as needed
- prepare post-event details and financial reports with Event Coordinator and Finance Manager
- assist with budgeting and forecasting pre-event financials
- adjust travel schedules proactively to align with operational goals
- maintain relationships with event groups and staff to increase retention
- organize ground transportation based on travel manifests
- assist with staff pay rates and seasonal intent evaluations
- serve in mid-level management or support roles at events
