The Tech Interactive, established in 1998, is a prestigious science and technology center located in the San Francisco Bay Area. The role of Event Planner at The Tech Interactive is an integral position, designed to support the successful staffing and execution of events and facility rentals within the organization. This role requires flexibility, primarily working during evenings and weekends, adapted to the event calendar’s needs. The Event Planner acts as a critical liaison between guests, staff, and vendors, facilitating seamless event operations that align with The Tech Interactive’s mission to deliver exceptional and inspiring experiences. Responsibilities also include stepping in as a backup for the Event Supervisor when necessary. The role is classified as non-exempt (hourly) and reports directly to the Director of Event Sales.
In this role, you will attend event briefings, coordinate load-in and tear-down processes, assist with volunteer management, and maintain clear communication with various departments such as Engineering, Audio/Visual, and Facilities. Job Requirements
- Flexible availability primarily during evenings and weekends
- ability to work in a public setting interacting with visitors, vendors, and clients
- adherence to grooming guidelines and professional image requirements
- physical ability to lift and move up to 50 lbs during event set-up and tear-down
- commitment to safety protocols
Job Qualifications
- One or more years of experience in customer service, event coordination, and/or execution
- supervisory experience is a plus
- excellent customer service skills
- strong public speaking skills
- good listening skills
- ability to learn and utilize software such as Google Suite, When to Work, Tripleseat, and Ticketure
Job Duties
- Attend event briefing prior to event start
- support coordination for load-in, set-up, and tear-down of events
- assist with end-of-event walk-through with caterers and vendors
- serve as on-site support contact for clients during events
- assist with volunteer assignments and coordinate breaks
- participate in scheduled meetings and training sessions
- communicate with Engineering, Audio/Visual, and Facilities staff to ensure exhibits and equipment function properly
