Job Requirements
- 3-6 years of professional relevant experience
- Ability to commute to Irving, TX facility 2-3 days per month
- Reliable transportation and ability to travel by air 1-2 times per month
- Valid passport required for international travel
- Completed Associate degree or higher
- Must be able to reach local airport and client’s facility
- Ability to manage logistics and vendor communications

Job Qualifications
- Bachelor's degree preferred or Associate degree considered
- 3-6 years of professional experience in event planning or related fields
- Proficiency in Microsoft Office Suite including Outlook, Word, and Excel
- Experience with virtual event platforms such as Webex and Zoom

Job Duties
- Support venue sourcing responsibilities including research, capacity planning, and contracting
- Plan and manage operations and logistics for all assigned programs
- Liaise with internal key conference partners and team members to ensure successful conference execution
- Communication and collaboration across event teams to ensure seamless delivery of first-class events
- Contribute ideas for event innovations to enhance Evanta Summits and ensuring alignment with the company objectives and vision
- Plan the attendee journey onsite, including event branding and signage
- Manage all on-site conference signage and branding
- Coordinate travel, secure team accommodations, and ground transportation for on-site events
- Coordinate communications as the primary point of contact for the on-site team with all suppliers including hotel/venue
- Collaborate with AV partners to communicate requirements, create floor plans, and design AV setups aligned with branding guidelines
- Manage invoices, purchase orders, and facilitate payment of event-related bills
- Prepare, negotiate, and forecast event budgets accurately and timely
- Monitor risks and deviations in event plans and conduct post-event reconciliation
- Serve as Tech Lead for virtual event delivery on platforms like Webex and Zoom
- Regularly review and manage team process documentation and communication tools
- Travel approximately 10-15 times per year, including international trips to Canada (about once per month)
