The role of Event Planner at LMI, positioned at a client site in Arlington, Virginia, within the National Capital Region, is a critical function that supports high-profile events involving national and international participants. This position requires an individual adept in project execution, leadership, and relationship management, underscored by a commitment to ethical standards and business growth. The Event Planner collaborates with government officers, protocol offices, and event sponsors to ensure seamless orchestration of events and conferences for a U.S. government office. A minimum of three days weekly must be spent on-site to effectively support event logistics and coordination.

In this role, the Event Planner will be tasked with organizing all aspects of events, including meals, tours, program documentation, audiovisual requirements, transportation, translation, and accommodations. A key responsibility is managing the government gift locker for international visitors and handling requests for Official Representation Funds (ORF), which are integral to Department of Defense events involving foreign delegates. The planner also contributes to the development of best practices by documenting procedures to create an ongoing Event Planning guide utilized by government personnel. This position demands proficiency in managing customer expectations, strong problem-solving abilities, and excellent communication skills. Use of Microsoft applications and a deep understanding of government protocols, especially regarding facilities like the Pentagon, are highly valued.

Ideal candidates bring a solid foundation of event planning experience, preferably with federal agencies or multinational organizations, including familiarity with ORF submission processes, Pentagon guest procedures, and international cultural considerations. The role necessitates security clearance eligibility, with a current Secret clearance being mandatory and Top Secret preferred. The salary range for this role is targeted between $65,000 and $85,000, reflecting factors such as experience, qualifications, and contract specifics. Job Qualifications

  • bachelor's degree from an accredited university field
  • four (4) years of event planning experience in lieu of a bachelor's degree may be considered
  • one (1) year event planning support experience including experience managing customer expectations and working directly with customers
  • outstanding customer service abilities combined with initiative, judgment, creativity, and flexibility
  • strong problem solving and analytical skills
  • excellent written and verbal communication skills
  • knowledge of Microsoft applications
  • preferred qualifications include two (2) years' experience supporting events with a federal agency or multinational organization
  • knowledge of options within the Pentagon for catering, photography and conference space
  • experience/knowledge of policies and procedures for submission of Official Representation Funds (ORF) requests
  • experience with entry and exit procedures, including proper documentation, for Pentagon guests
  • understanding international cultural considerations when developing a Washington-based visitor program
  • foreign Distinguished Visitors Training at the Protocol School of Washington or equivalent

Job Duties

  • support a team of event planners responsible for organizing events and conferences for national and international visitors to a U.S. government office
  • organize meals, tours, programs, documents for distribution, audio-visual needs, transportation, translation services and accommodations as required
  • provide advice on, review, submit, and track requests for Official Representation Funds (ORF) in support of DoD events involving international visitors
  • manage government gift locker for international visitors
  • work in conjunction with a government contracting officer, government sponsors of events, and existing protocol offices to provide support
  • support other team event planners in documenting best practices and practical guidance in an Event Planning guide for ongoing use by the government office
