The Event Planner position is offered by the Associated Students Inc. (ASI) at California State University, Fullerton, located in Fullerton, CA. ASI is an organization dedicated to enhancing the student experience by providing essential services, programs, and facilities that promote student engagement and campus involvement. The Event Planner role is crucial within ASI, tasked with managing the full lifecycle of event reservations from initial client inquiries to post-event follow-up within the Titan Student Union. This role demands a highly organized, detail-oriented professional with exemplary customer service skills and strong expertise in event management. The Event Planner acts as a liaison between on-campus and off-campus clients, University Conference Center departments, caterers, and other stakeholders ensuring seamless event coordination and adherence to campus policies.
Responsibilities include processing facility reservation requests, coordinating risk management and compliance with campus policies including alcohol use and events with minors, and utilizing event-diagramming software to design layouts meeting client needs. Furthermore, the Event Planner manages specialized programming such as the Student Art Show and art gallery space reservations, helping maintain a dynamic schedule of exhibits. The role extends to monitoring events, supporting client relationships, and assisting in fiscal duties related to payment processing and budget preparation for art galleries.
Exceptional communication skills, the ability to manage competing deadlines, and strong problem-solving abilities are critical for success in this role. The Event Planner will contribute to marketing and outreach efforts to promote art gallery programming and directly support the day-to-day operations of the University Conference Center, including assisting student staff and responding to client inquiries.
This position requires a bachelor’s degree and a minimum of 2-3 years of relevant experience in event management or customer service; experience in higher education is preferred. The role also demands proficiency with event scheduling software, knowledge of facility policies, and a working understanding of AV and event technology. Additional competencies include fiscal responsibility, safety regulation compliance, and the capacity to handle unexpected circumstances during events.

Job Requirements
- Bachelor's degree from an accredited university
- minimum of 2-3 years experience in event management, customer service, or related field
- strong communication skills
- proficiency in event scheduling software
- knowledge of campus policies regarding events with minors and alcohol service
- ability to handle physical demands including lifting up to 30 pounds
- valid driver's license and current auto insurance may be required
- ability to work flexible hours including off-campus or after-hours events
- satisfactory employment history and criminal background check
- must sign ASI Mandatory Reporter Form
- commitment to DEI principles
Job Qualifications

Job Duties
- Process facility reservation requests from on-campus and off-campus clients
- determine appropriate facility and service requirements
- provide client with rental information, including facility use policies, procedures, resources, facility and staffing costs, catering and alcohol procedures, parking information, and important deadlines
- advise clients on other available campus resources
- review and determine appropriate risk management steps
- work with clients to meet ASI minimum risk management requirements
- ensure CSU standards regarding events with minors are enforced
- submit alcohol service requests for off-campus clients
- ensure campus clients follow alcohol procedures per Presidential Directive 1
- review food and beverage plans for coordination with approved caterers
- utilize event-diagramming software to design meeting and event space layouts
- maintain adherence to safety regulations and attend safety meetings
- manage art gallery space reservations
- manage the Student Art Show
- serve as liaison between University Conference Center and ASI programming departments
- assist in preparing annual operating budget for art galleries
- assign charges and process payments according to procedures
- respond to customer requests and provide problem resolutions
- schedule and lead pre-event client walk-throughs
- monitor high-profile or complex reservations
- work with Communications, Marketing, and Design to promote art gallery scheduling
- support the day-to-day operations of the University Conference Center including assisting student staff and answering client inquiries
- perform other related duties as assigned
