The role of Event Planner at SCI is both dynamic and impactful, emphasizing the planning and implementation of detailed events related to funeral services, visitations, and receptions. This position requires a strong ability to organize, communicate, and execute event plans within tight timeframes, often spanning only a few days. The event planner works closely with funeral directors and families to understand the specific needs and contractual agreements, ensuring every event exceeds expectations. Responsibilities include coordinating internal resources such as venue space, equipment, decoration, vehicles, and personnel; managing vendor relationships by setting clear expectations, handling budgets, and adhering to timelines; and overseeing the smooth progression of each event from setup to cleanup. The planner may also assist with developing memorabilia, stationary, electronic presentations, music coordination, and drafting obituaries to create a personalized tribute experience.

Critical to this role is strong administration work, sourcing local vendors for catering and floral arrangements, maintaining compliance with business standards, developing menus, and monitoring vendor performance using established key performance indicators (KPIs). The event planner also develops and maintains an Event Playbook that captures event plans, KPIs, and lessons learned to continuously improve processes. The work predominantly occurs indoors, with occasional outdoor tasks in various weather conditions, requiring professional attire when engaging with families. Flexibility is essential given the scheduling demands involving weekday, night, and weekend shifts, and travel between locations may occasionally be necessary. This position suits individuals with an associate degree in hospitality or event planning, or comparable experience, and proficiency in MS Office and proprietary software. Job Requirements

  • Associates degree in hospitality, event planning, or related discipline or two years event planning experience
  • At least one year event planning or catering experience preferred
  • Computer literate and proficient with MS Office
  • Ability to use proprietary software
  • Flexibility in availability including nights and weekends
  • Professional attire in contact with families
  • Ability to work indoors and outdoors in varying weather
  • Ability to sit or stand up to 6 hours a day
  • Ability to climb stairs frequently
  • Physical dexterity for paperwork, computer, and phone use
  • Ability to travel locally and between multiple locations

Job Qualifications

Job Duties

  • Plans events by reviewing contract and discussing with funeral director for clarification
  • Schedules internal resources including facility space, equipment, decorations, vehicles, drivers, and attendants
  • Contacts and schedules vendors communicating expectations, budget, and timeline
  • Manages services arrangements implementation per contractual arrangements
  • Obtains and inspects vendor products and addresses issues
  • Communicates instructions to support staff for set-up, work assignments during events, and clean-up
  • Works alongside support staff to set-up arrangements and assists with event support
  • Available during events to resolve issues
  • Responsible for events to meet or exceed the family's wishes
  • Performs event planning duties such as ordering memorabilia, stationary, scanning photos, coordinating electronic presentations, music, or drafting obituaries
