Island Grad Inc. is a 501(c)(3) nonprofit organization dedicated to empowering Pacific Islander students through education, culture, community, and celebration. Founded in 2018, the organization has established meaningful partnerships with schools, colleges, community organizations, and families throughout Southern California to increase the visibility of Pacific Islander students, promote their educational achievements, and celebrate their successes. The Event Planner role at Island Grad Inc. is a versatile position that can be full-time or part-time and is based on-site in San Bernardino, CA. The position involves the end-to-end planning and coordination of graduation events, from initial concept development to successful execution. Key responsibilities include managing timelines, coordinating vendors and venues, handling logistics, and ensuring smooth operations on the day of the event. The Event Planner will work directly with students to understand their visions for their celebrations, develop tailored event proposals, and oversee budgets to deliver high-quality experiences within financial parameters.
Daily duties include extensive communication with vendors and venue personnel, organizing and preparing event materials, managing setup and breakdown efforts, and troubleshooting any issues that may arise during the events. Additionally, the planner collaborates closely with the internal team on marketing efforts, contributing to sales support, and conducting post-event evaluations. This role requires strong organizational skills, flexibility to work evenings or weekends as needed, and a passion for creating joyful and culturally significant events.

Job Requirements
- associate or bachelor’s degree preferred but not required
- equivalent experience valued
- prior experience in event planning or hospitality
- ability to work on-site in San Bernardino, CA
- availability for occasional evenings and weekends
- strong organizational skills
- proficiency with spreadsheets, calendars, and project management software
- reliable problem-solving skills
- strong communication skills
- ability to manage multiple events and deadlines
Job Qualifications
- strong communication skills including clear verbal and written communication and active listening
- event planning skills including concept development, timeline creation, vendor coordination, and on-site oversight
- event management skills such as logistics coordination and risk planning
- budgeting skills including cost estimation and expense tracking
- sales-related skills like client outreach and contract support
- relevant experience in event planning or hospitality, preferably with academic or community events
- strong organizational and time-management abilities
- proficiency with office and event management tools
- ability to work on-site in San Bernardino, CA
- associate or bachelor’s degree in event management, hospitality, business, or related field preferred
