Job Description

Within this exciting environment, the Center for Career & Professional Development (CCPD) offers critical services aimed at empowering students and alumni to plan and achieve their career goals. As the university’s centralized resource for career planning and employment assistance, the CCPD facilitates access to a variety of career-related opportunities including internships, cooperative education, part-time jobs, professional employment, and graduate/professional school preparation. The CCPD embodies values of community, excellence, integrity, service, and well-being, playing an essential role in the overall Division of Student Success.

USF is currently seeking an experienced Event Planner to join the CCPD team. Reporting directly to the Director of Operations and Marketing, the Event Planner will be responsible for coordinating and managing a broad range of career-related events such as career fairs, employer panels, mock interview days, small conferences, and promotional events. This role requires a proactive professional who can collaborate effectively with CCPD staff, including a dedicated Marketing and Communications Officer, to execute events that engage university students, employers, and alumni. The Event Planner will oversee all logistical aspects from planning, scheduling, vendor negotiations, volunteer coordination, and budgeting to ensure successful event delivery.

Job Requirements

  • Bachelor's degree in communication, marketing, public relations, hospitality management, business management, digital media, or related field
  • two years of related experience or Master's degree in the fields listed

  • ability to pass Level 1 or Level 2 criminal background check

Job Duties

  • Coordinates event planning efforts with CCPD team members and external community as appropriate
  • plans, schedules, and monitors logistical activities for special events including registration, facilities, meals, lodging, audiovisual equipment, transportation, and tours
  • works with Marketing and Communications Officer to create marketing materials, brochures, and flyers
  • serves as primary liaison with internal and external constituencies regarding program activities
  • oversees and coordinates activities of volunteers, staff, and students including training and scheduling
  • evaluates program histories, budget considerations, contracts, and planning recommendations to determine event requirements
  • participates in budget development and manages fiscal event planning including vendor negotiations and invoice processing
  • performs other duties as assigned
