The role of Guest Group Coordinator at Forest Home involves the critical task of developing, maintaining, and deepening relationships with guest group leaders, ministry partners, and other organizations. This position is pivotal in ensuring superior customer service and facilitating outstanding guest experiences from the beginning stages of event planning through to post-event follow-up. Acting as the primary point of contact, the Guest Group Coordinator orchestrates all pre-retreat services, ensuring effective communication between guests and internal departments. This includes managing detailed logistics such as meal schedules, arrival and departure times, housing arrangements, meeting space setups, and administrative requirements like the collection of liability insurance and consent forms.
The Guest Group Coordinator works collaboratively with sales teams and ministry liaisons to support a seamless planning process, enabling groups to confidently plan their retreats knowing their needs are anticipated and addressed with precision. Post-retreat, the coordinator actively follows up with group leaders to obtain feedback, facilitate the completion of necessary paperwork, and encourage future bookings, thereby maintaining a loyal and expanding customer base. This position also requires the individual to participate in operational coordination during events as needed and contribute to internal meetings by sharing impact stories and aligning with Forest Home's spiritual mission.
Forest Home seeks candidates who are self-starters with experience in ministry, sales, guest relations, or related fields, ideally with a background working in retreat or camp settings. The role demands excellent interpersonal skills, proficiency with Microsoft Office and CRM systems, and the ability to manage multiple priorities with exceptional attention to detail. Additionally, the Guest Group Coordinator must embody Forest Home's core values, including strong spiritual commitment, a servant heart, a Christ-like attitude, and a dedication to service and excellence.
This full-time role demands a flexible schedule, including availability on weekends, to meet the needs of various guest events. While there are no supervisory responsibilities, the position requires collaboration across multiple departments and the ability to work from a home office with minimal supervision. Physical demands are moderate, involving occasional lifting and typical office activities, and the work environment may expose employees to outdoor elements and moderate noise levels.

Job Requirements
- College degree is a plus
- Career experience in ministry, sales, marketing, business, guest relations, or related area
- Experience working or serving at Forest Home or other camp
- Proven self-starter with successful experience working from a home office with minimal supervision
- Strong Microsoft Office experience including Word, Excel, and PowerPoint
- Excellent computer and CRM skills
- Excellent people skills and ability to develop relationships easily and quickly

Job Duties
- Orchestrates all pre-retreat services, including communication with group leaders and acting as the conduit between guests and internal departments at Forest Home
- Works closely with the sales team and ministry liaisons to maintain consistent communication with group leaders and ministry partners at the start of event planning
- Guides guests through detailed event planning processes including meal times, arrival/departure, housing, meeting spaces, attendance numbers, deposits/payments, and necessary form collection
- Follows up with assigned guest group leaders post-retreat to obtain feedback, collect check-out forms, and streamline rebooking for future retreats
- Maintains and grows repeat business through effective and professional communication encouraging future bookings
- Collaborates with operations departments to ensure alignment and high-quality services for contracted groups
- Coordinates daily specifics with operations through calls, emails, or other methods to prepare for guest groups
- Creates, revises, and distributes info sheets to departments and facilitates weekly meetings for clear communication
- Anticipates challenges, resolves guest concerns professionally, and collaborates cross-departmentally during high pressure situations
- Assists with on-site retreat support or operational coordination during guest events as needed
- Shares group impact stories and other key information with staff to align with Forest Home mission and values
- Supports department goals related to guest satisfaction scores, retreat retention, and planning accuracy
- Proposes and implements new processes to improve event planning efficiency
- Creates and revises reports as needed
- Actively promotes the Four Trees of Quality Standards
- Participates in spiritual life activities
