This particular opening is for an Event Planner role based in the Clearwater/Tampa, FL area. The position focuses on managing and executing corporate events with a strong emphasis on food and beverage, décor, and onsite event delivery. The Event Planner will primarily facilitate events that occur within offices or nearby venues, with some occasional regional travel, including trips to Greenville. This is a hands-on, execution-focused position best suited to a candidate who is passionate about event planning and enjoys being active onsite to ensure polished, well-managed experiences. From internal corporate meetings to customer-facing events and hosted happy hours, the role demands a high level of coordination, attention to detail, and guest experience management.

The role requires creating detailed event plans and budgets, managing logistics including vendor negotiations and contract management, and providing on-site event support to ensure flawless execution. Experience in food and beverage management and décor design is crucial, alongside strong skills in vendor coordination and communication with internal stakeholders. Candidates should also possess the ability to work flexible hours, including early mornings and occasional evenings, and be physically capable of lifting and moving event materials up to 20 pounds and standing for extended periods.

The planner is expected to collaborate closely with the broader events team to share best practices and support coverage as needed. A hybrid working model is available with certain mandatory in-office days, primarily Tuesday through Thursday, with the flexibility of remote work balanced by travel up to 25%, mostly within Florida. Attending to the finer details of event communication, including registration and guest invitations, is also a key responsibility.

The ideal candidate holds 2-4 years of hands-on event planning experience, preferably in corporate or hospitality environments, with proven success in managing food and beverage and décor. Proficiency in event management tools such as Cvent and Marketo, together with a strong knowledge of Microsoft Office Suite—particularly Excel and PowerPoint—is required. A background or education in Hospitality, Marketing, Communications, or related fields is preferred but not mandatory.

Job Duties

  • Plan and execute a variety of corporate events primarily based in Clearwater, Tampa, and surrounding areas
  • partner with event stakeholders to gather requirements, develop event plans, and create detailed budgets and proposals
  • manage key logistics for events with a heavy focus on food & beverage, décor, room setup, and overall guest experience
  • research, recommend, and manage venues, catering partners, décor vendors, and other event suppliers
  • negotiate vendor contracts and manage costs to ensure budget alignment
  • own full budget accountability including projections, tracking during planning, and post-event reconciliation
  • develop event agendas and timelines
  • coordinate audio-visual services and third-party production partners as needed
  • coordinate event communications including invitations and registration
  • provide onsite event support including early-morning setup and after-hours execution when required
  • support recurring happy hours and evening events approximately once per month
  • utilize event tracking tools and databases to manage event workflows and reporting
  • collaborate closely with the broader events team to share best practices and support coverage as needed
  • complete additional event-related duties as assigned
