Our client, a reputable company located in Foster City, CA, is seeking a Quality Documents and Training Administrator/Event Planner to join their dynamic Commercial Learning and Development team. This opportunity is offered as an 18-month contract position primarily available to local candidates within the Bay Area. The company specializes in providing comprehensive learning and development programs targeted at enhancing commercial team efficiencies and competencies within the biotech and pharmaceutical industries. This role is critical for managing the end-to-end execution of commercial training events including new hire onboarding and leadership training sessions. The Quality Documents and Training Administrator/Event Planner will take ownership of event planning and logistics, ensuring seamless delivery and stakeholder satisfaction. The individual will work alongside cross-functional teams and vendors to coordinate all aspects of event management such as venue sourcing, contract negotiation, vendor management, and resource allocation.
As part of their responsibilities, the candidate will develop detailed project plans and timelines, manage registration processes, execute Request for Proposals (RFPs), and oversee all audio-visual production elements. Their strategic involvement extends beyond operational duties to include process assessments, root cause analyses, and quality improvements aimed at enhancing event execution and training effectiveness. Exceptional communication skills will be necessary for delivering executive-level updates and influencing decisions without direct authority.
The ideal candidate will bring a wealth of experience in large-scale event planning and project management combined with a strong understanding of industry standards and best practices. Proficiency in Microsoft Office and adaptability to emerging digital tools will support their ability to manage logistics efficiently. Job Requirements
- 7+ years of experience with a BS or BA
- 5+ years of experience with MS, MA, or MBA
- degree in event management, hospitality and tourism management or equivalent preferred
- certified meeting professional (CMP) preferred
- local candidates only within Bay Area
- ability to travel approximately 40% domestically

Job Duties
- Lead projects to successful delivery while providing an exceptional stakeholder experience

- manage and execute training events and ad hoc training meeting requests
- partner with stakeholders and vendors on training event planning

- negotiate contracts for hotels, venues and vendors
- manage all food and beverage for events
- source and oversee vendors for production and audio-visual elements
- develop and manage project timelines and action plans
- interface with training teams and external vendors
- produce pre-event communications and post-event analysis
- manage registration including invite lists and attendee management
- manage planning meetings involving cross-functional teams
- vendor management to ensure deliverables and timelines
- evaluate and establish SOPs to improve efficiencies
