Job Description
The Association of Former Students at Texas A&M University is a dynamic organization dedicated to engaging and inspiring the Aggie Network, which encompasses current and former students, faculty, staff, and friends of the university. As a cornerstone of Aggie Spirit, the association provides vital services including scholarships, endowments, emergency student loans, and faculty awards through its Annual Fund and various revenue streams. The Event Operation Student Assistant role is a unique opportunity for those looking to gain experience in event management, hospitality, and customer service within a prestigious educational institution. This position entails hands-on involvement in setting up, running, and dismantling events that engage a wide range of participants. The role requires flexibility, attention to detail, and a proactive attitude to ensure every event runs smoothly and leaves a positive impression on attendees.
Key responsibilities include assisting the events team in preparing rooms for meetings, conferences, and signature university events. The assistant will manage equipment and supplies, utilize Microsoft Office for tracking inventory, and uphold safety standards while performing physical tasks such as moving tables, chairs, and audio-visual equipment. The schedule is demanding, involving work on special events that often occur during nights, weekends, holidays, and home football games, requiring a strong commitment and reliable attendance.

Job Qualifications
- Currently pursuing a bachelor's degree in Hospitality, Hotel Management & Tourism, Sport Management, or a similar degree at Texas A&M University
- strong interpersonal skills that support customer service
- basic familiarity with Microsoft Office
- strong commitment to the mission and vision of The Association of Former Students
- ability and desire to advocate for the organization and Texas A&M University
- previous experience of at least six (6) months of paid part-time work experience preferred
- previous experience working with events planning or within the hospitality industry preferred
- familiarity with the Texas A&M campus and surrounding area preferred
- valid driver's license preferred
Job Duties
- Follow detailed instructions

- assist Events staff with preparing rooms for meetings, events, conferences
- maintain the agreed-upon work schedule including special events such as Distinguished Alumni Gala, Aggie Ring Days, Class Reunions, home Aggie football game days, and Board and Leadership Council meetings
- communicate with management in a timely manner regarding unexpected lack of availability to work
- use Microsoft Office Suite at a basic level to accurately track equipment and supplies
- setup and tear-down decor, tables, chairs, audio-visual equipment and other items
- build good working relationships with customers through interpersonal skills
- maintain storage areas and inventory pre- and post-event
- work in a safe manner
- perform other duties as assigned
