WBUR, Boston's NPR, operates CitySpace, a premier event venue and creative hub located at 890 Commonwealth Avenue in Boston, Massachusetts. The role of Event Operations Manager at CitySpace is a full-time, hybrid position requiring flexibility to support early morning, evening, and weekend events onsite. Reporting to the Marketing & Campaign Manager, this essential role focuses on the planning, coordination, and seamless execution of all operational aspects of rental client events at CitySpace. Unlike sales roles, this position is dedicated exclusively to event logistics and production, ensuring that every event is delivered safely, efficiently, and to the exacting specifications of clients from corporate, social, and nonprofit sectors. The successful candidate will possess a proven track record of managing high-profile, high-production value events, demonstrating superior project management and technical coordination skills.
This position demands an individual with a client-first mindset, exceptional attention to detail, physical stamina, and the ability to make quick, effective decisions under pressure. The Event Operations Manager will serve as the primary onsite leader for operational delivery, collaborating closely with internal teams such as Venue Sales, Marketing, Technical Operations, Facilities, Security, and audiovisual specialists, as well as managing relationships with external vendors. Responsibilities cover all facets of event preparation including developing floor plans, audiovisual cue sheets, load-in and load-out schedules, and overseeing vendor coordination and compliance with venue policies related to catering, entertainment, signage, alcohol service, and safety protocols.
Beyond operational duties, the manager will contribute to maintaining and updating important venue documentation such as FAQs, standard operating procedures, safety protocols, and training materials. This role champions an environment of teamwork and open communication across departments while providing consultative guidance to clients throughout the planning and execution of their events. The ideal candidate demonstrates robust experience with event setup and breakdown, effective management of kitchen and concession areas post-event, and a reliable ability to handle physical demands including lifting over 25 pounds and managing event spaces actively. The flexibility in schedule to accommodate the diverse timing of events underscores the need for strong organizational and time management prowess.

Job Requirements
- 3-5 years of experience in event operations or management
- Proven ability to manage high-production event logistics
- Strong project management and organizational skills
- Excellent communication skills both verbal and written
- Ability to work flexible hours including early mornings evenings weekends and holidays
- Capacity to lift 25+ pounds and stand for long periods
- Ability to navigate stairs and work in physically demanding environments
- Client-focused and able to make quick decisions under pressure
Job Qualifications
- 3-5 years executing conferences corporate/social events sponsorship activations or venue operations with high-profile clients
- Proven track record managing high-production event logistics
- Strong project management organization and time-management skills
- Excellent written and verbal communication
- Collaborative client-first mindset with ability to problem-solve under pressure
- Ability to build strong relationships both internally across the organization as well as externally with clients and third-party vendors and events teams
- Detail-oriented with solid documentation and record-keeping habits
- Availability for evenings weekends and holidays as needed
- Ability to lift 25+ lbs navigate stairs and stand for extended periods
- Familiarity with venue management or CRM software
- Previous experience coordinating technical production details lighting audiovisual and working closely with technical teams
- Certification in event management hospitality or safety eg ServSafe Event Safety Alliance training is a plus
- Experience managing vendor contracts permits and insurance requirements
Job Duties
- Serve as primary on-site lead for operational delivery of rental client events at CitySpace ensuring all specifications timelines and client expectations are met
- Develop and maintain event floor plans AV cue sheets load-in/load-out schedules and client facing planning documents
- Coordinate with clients internal teams Technical Operations Marketing Facilities Security and external vendors to confirm deliverables timelines and logistics
- Enforce CitySpace policies and venue guidelines for catering entertainment decorations signage sponsor activations alcohol service and load-in/load-out procedures
- Oversee vendor logistics including catering orders rental orders delivery windows storage needs access/egress and vendor credentials
- Assist in developing and updating venue FAQs standard operating procedures SOPs safety protocols lists of preferred vendors and training materials
- Act as a client-facing operations lead providing consultative guidance on logistics while maintaining a client-first approach to execution
- Oversee event setup and breakdown as required including moving and arranging chairs/tables placing linens and managing vendor load-in/out
- Ensure kitchen concessions and common areas are tidy and compliant with venue standards after events
- Foster an environment of openness teamwork and cross-departmental collaboration
