Job Description

Audubon Nature Institute is a renowned organization dedicated to the preservation and celebration of the natural world through its network of parks, museums, and conservation centers. These include Audubon Park, Audubon Zoo, Audubon Aquarium, Audubon Insectarium, and several other significant locations focused on species survival, research of endangered species, and nature education. The institute’s operations also extend to public spaces such as Woldenberg Riverfront Park and Audubon Wilderness Park, combining recreation with a strong environmental mission. The Event Operations Manager position is a full-time role reporting to the Director of Event Operations and is based in a central location. This role is pivotal in planning, coordinating, and executing all internal events organized by Audubon, which include notable festival and fundraising events such as Celebración Latina, Scales and Ales, Flutters and Fins, Boo at the Zoo, Zoo to Do, and Zoobilation. Beyond internal event management, this position also liaises with external clients who utilize Woldenberg Riverfront Park for their events, offering a dynamic range of responsibilities that include client relations, vendor coordination, and ensuring seamless event logistics across all Audubon properties.

The Event Operations Manager acts as the essential link bridging clients, vendors, and multiple internal departments like Development, Learning and Engagement, Membership, and Marketing. This role demands a detailed-oriented leader who excels in multitasking, scheduling, contract management, and event execution while maintaining excellent communication and customer service. Additionally, the manager handles operational safety in partnership with security teams, facilitates interdepartmental cooperation for event needs, follows up on sales leads, and drives revenue and cost-efficiency initiatives. With a focus on adaptability and innovation, the position requires a proactive attitude to embrace new trends and deliver impactful events that resonate with Audubon’s mission and audience.

Job Requirements

  • Ability to work independently and autonomously
  • Ability to work day, night, weekends, and holidays
  • High school diploma
  • Valid driver’s license
  • At least 2 years of supervisory experience
  • Ability to handle people and situations in a tactful and discrete manner

Job Qualifications

  • High school diploma
  • At least 2 years of supervisory experience
  • Previous event production and operations experience preferred
  • Experience working with Microsoft Office preferred
  • Ability to collect and analyze numerical, written, and verbal data preferred
  • Affinity for animals preferred
  • Ability to prioritize, organize, and synchronize multiple tasks and work under and handle high stress in an appropriate manner preferred

Job Duties

  • Act as a liaison between event clients, vendors, and internal Audubon departments ensuring customer satisfaction through attention to detail, excellent service skills, and the ability to lead and take initiative
  • Responsible for maintaining awareness of current trends and generating ideas for new festivals, inclusion events, community relations events, and building clientele year-over-year
  • Participate in planning of all internal Audubon events with departmental teams such as Development, Learning and Engagement, Membership, and Marketing
  • Respond to inquiries, schedule meetings and site visits, prepare estimates, discuss layouts, collect event insurance and permits, build contracts and collect deposits, act as a liaison with vendors, execute event, invoice, request feedback
  • Coordinate with external security teams to ensure safety procedures are being followed and communicate Audubon’s security plans with clients
  • Coordinate event needs with Electrical, Facility Services, and Guest Services as needed
  • Follow-up on sales leads to answer questions, collect general info, review with team, and update calendars
  • Oversee event logistics, execution, and conclusion while continuously troubleshooting and addressing issues during event
  • Create and distribute departmental event documents to all Audubon staff
  • Continuously cultivate revenue opportunities and cost savings initiatives with rental and equipment services
