The role offered at HighLevel is an integral operational and logistical position based out of the Dallas office that focuses on supporting the efficient execution of events, inventory management, swag coordination, and internal team logistics. The ideal candidate will bring a highly organized, detail-oriented mindset coupled with a strong sense of ownership and a proactive attitude suitable for a fast-paced, dynamic environment. Responsibilities include maintaining and tracking event kits and swag inventory, managing the flow of event materials, coordinating travel logistics including international travel adherence and documentation, supporting customer recognition programs, and contributing to the company’s vibrant internal culture through logistical support for events and celebrations.
This position is vital in ensuring operational excellence behind the scenes, supporting multiple teams including marketing, operations, communications, and People Ops. The candidate will engage not only in routine inventory and office coordination tasks but also handle budget tracking, vendor management, and customer award processes. Strong skills in communication, collaboration, and project management with proficiency in tools like Google Workspace, ClickUp, and spreadsheets are key to success in this role.

Job Requirements
- Must be available to work and attend in-person or virtual meetings during US hours, Monday through Friday, 9:00 am - 5:00 pm CST
- Bachelor's degree in event management, marketing, or related field preferred
- 1+ years of experience in event coordination, logistics, operations, or administrative support roles
- Strong organizational skills and a detail-oriented, follow-through mindset
- Proficiency with tools like Google Workspace, ClickUp, and spreadsheets
- Excellent communication and collaboration skills across departments
- Ability to manage and prioritize multiple requests with a 'get it done' attitude
- Adaptability and resilience when navigating shifting priorities
- Discretion and professionalism when handling sensitive information
- Comfort with learning new platforms and navigating multiple systems
Job Qualifications
- Bachelor's degree in event management, marketing, or a related field preferred
- 1+ years experience in event coordination, logistics, operations, or administrative support
- Proficiency with Google Workspace, ClickUp, and spreadsheets
- Strong organizational and project management skills
- Excellent communication and collaboration skills across departments
- Experience with virtual and hybrid event platforms
- Proficiency in event management software and Microsoft Office Suite
- Ability to manage multiple projects and events simultaneously
- Proven ability to work independently and take ownership of tasks

Job Duties
- Maintain and track event kits and swag inventory, ensuring items are well-organized and accessible
- Own the daily movement of event materials in and out of the office, ensuring proper dispatch and accurate tracking
- Receive, process, and restock returned items while conducting quarterly inventory audits
- Collaborate with events team to design and implement efficient storage solutions for the office
- Support shipping needs for event planners and internal teams, ensuring timely and accurate dispatch
- Fulfill internal swag requests and assist in swag distribution and organization
- Collect and analyze feedback on swag and event kit usability to improve future processes
- Manage the customer awards process including communication, data collection, production, and delivery
- Coordinate travel logistics including booking flights, accommodations, transportation, and managing travel preferences
- Provide support during key events such as the HighLevel LevelUp Summit by managing logistics and customer engagement
- Maintain internal SOPs, trackers, and dashboards to support operational visibility
- Act as a backup for office administration tasks, including handling Freshdesk inquiries
- Partner with cross-functional teams to execute swag logistics and internal activations
- Support team culture by assisting with event planning, recognition programs, and celebrations
- Track swag, shipping, and inventory expenses and support reporting and reconciliation processes as needed
