Grounded Table's catering program is an extension of The Ground's philosophy of conscious and loving hospitality, reaching beyond their physical spaces to bring exceptional service to events, gatherings, and celebrations throughout the Willamette Valley. Grounded Table operates as part of The Ground, a distinguished collection of destinations and experiences that emphasize a philosophy of conscious hospitality in service to all species. The Event Operations & Sales Lead at Grounded Table is a pivotal role within The Ground’s Events team. This position is designed for an experienced event professional who excels both in managing the operational logistics of events and providing exceptional client-facing service. The role requires a balance of hands-on event execution and sales coordination, making it an ideal fit for individuals who thrive in dynamic and fast-paced environments. Responsibilities span from overseeing event setups and breakdowns to managing client communications and supporting sales efforts between events. The Event Operations & Sales Lead ensures a seamless guest experience by serving as the on-site lead during weddings, corporate functions, social gatherings, and catered events. This includes managing timelines, coordinating with vendors and internal teams, problem-solving during events, and ensuring compliance with contracts and client expectations.
In addition to on-site event management duties, this role also involves supporting the Sales & Events team during non-event hours. This support includes handling client inquiries, following up on proposals and contracts, assisting with event planning, maintaining accurate event records, and occasionally participating in venue tours and client meetings. The position demands exceptional organizational and communication skills, the ability to work both independently and collaboratively, and a professional demeanor that remains calm and solutions-oriented in dynamic settings.
The schedule for this role varies with seasonality and event volume, typically requiring 15 to 30 hours per week. The position may be structured as a part-time employee role with a flexible schedule or as an independent contractor role depending on the needs. Compensation for part-time employees ranges from $25 to $35 per hour depending on experience, while independent contractors may earn between $35 and $50 per hour. Job Requirements
- High school diploma or equivalent
- Minimum 3 years of relevant event or hospitality experience
- Strong organizational skills
- Excellent communication abilities
- Ability to manage multiple tasks in a fast-paced environment
- Availability to work evenings, weekends, and some holidays
- Reliable transportation and valid driver’s license
- Ability to stand and walk for extended periods
- Capability to lift and carry up to 35 pounds regularly
- Willingness to work indoors and outdoors in varying weather conditions
Job Qualifications
- 3+ years of event management, venue operations, hospitality, catering, or event planning experience
- Demonstrated experience managing events independently and serving as onsite lead
- Strong customer service and client relationship skills
- Exceptional organizational and communication abilities
- Ability to remain calm, professional, and solutions-oriented in dynamic event environments
- Experience with event management software such as TripleSeat preferred
- Experience with POS systems like Toast preferred
- Ability to work independently and collaboratively
- Flexible schedule including evenings, weekends, and holidays
- Reliable transportation and valid driver's license
Job Duties
- Serve as on-site event lead for various events
- Act as primary contact for clients, vendors, and staff during events
- Manage event timelines, logistics, and day-of problem solving
- Conduct event walkthroughs and pre-event preparations
- Coordinate event setup, service flow, and breakdown
- Participate in event setup, room resets, and breakdown leading by example
- Ensure all event details are executed according to contracts and client expectations
- Support off-site catering events including load-in, setup, service oversight, and strike
- Assist with client inquiries and ongoing communication
- Follow up on proposals, contracts, and event details
- Support event planning and coordination for booked clients
- Maintain accurate event records and timelines
- Provide timely client responses
- Assist with venue tours and meetings
- Communicate event staffing and operational needs
- Coordinate with vendors and internal departments
- Maintain event equipment and inventory
- Support development of operating procedures
- Perform additional duties to support Events and Hospitality teams
