The Event Operations & Sales Lead role is pivotal to the success of Grounded Table's event and sales operations. This position plays a dual role involving hands-on event execution and client-facing sales support, making it perfect for someone who thrives in dynamic environments and enjoys balancing operational responsibilities with customer service. The role demands a detail-oriented professional experienced in managing event logistics from the initial preparation stages right through to day-of coordination and execution. This individual will ensure that every event runs smoothly, clients' expectations are met or exceeded, and the team is effectively supported.
On event days, the Event Operations & Sales Lead serves as the primary on-site contact, facilitating communication between clients, vendors, and event staff while managing timelines, logistics, and any emerging challenges. They also assist with setup, service flow, breakdown, and post-event operations both on-site and at off-site catering locations. Beyond event days, this lead contributes to the sales process by maintaining client engagement, responding promptly to inquiries, coordinating event details, supporting contract follow-up, and assisting with venue tours and client meetings as needed. This ensures seamless client experiences from booking through to event completion.
Operationally, this role supports team communication, coordinates with various departments and vendors, manages inventory, and helps refine event procedures to enhance service quality. The position is suited for individuals with 3+ years of relevant experience in event management, hospitality, catering, or related fields who possess strong organizational skills, customer service acumen, and the ability to maintain professionalism in fast-paced, ever-changing circumstances.
Whether structured as a part-time employee with flexible hours or as an independent contractor, this role requires flexibility and reliability, reflecting event seasonality and volume. Compensation is competitive, ranging between $25-35 per hour for part-time employees and $35-50 per hour for contractors, commensurate with experience. Job Requirements
- 3+ years of event management, venue operations, hospitality, catering, or wedding/event planning experience
- demonstrated experience independently managing events and serving as the onsite lead
- strong customer service and client relationship skills
- exceptional organizational and communication abilities
- ability to remain calm, professional, and solutions-oriented in dynamic event environments
- experience with event management software
- ability to work independently while collaborating effectively with a team
- flexible schedule, including evenings, weekends, and occasional holidays
- reliable transportation and valid driver's license
- ability to stand and walk for extended periods
- ability to lift and carry up to 35 pounds regularly
- ability to work both indoors and outdoors in varying weather conditions
Job Qualifications
- 3+ years of event management, venue operations, hospitality, catering, or wedding/event planning experience
- demonstrated experience independently managing events and serving as the onsite lead
- strong customer service and client relationship skills
- exceptional organizational and communication abilities
- ability to remain calm, professional, and solutions-oriented in dynamic event environments
- experience with event management software
- TripleSeat experience preferred
- experience with Toast or other POS systems preferred
- ability to work independently while collaborating effectively with a team
- flexible schedule, including evenings, weekends, and occasional holidays
- reliable transportation and valid driver's license
Job Duties
- Serve as on-site event lead for weddings, corporate events, social gatherings, and catered events, as assigned
- act as the primary point of contact for clients, vendors, and event staff during event execution
- manage event timelines, logistics, and day-of problem solving to ensure a seamless guest experience
- conduct event walkthroughs and pre-event preparations
- coordinate event setup, service flow, and breakdown activities
- participate in event setup, room resets, breakdown, and other operational tasks as needed, leading by example and supporting the event team throughout execution
- ensure all event details are executed according to contracts, EOs, and client expectations
- support off-site catering events as needed, including load-in, setup, service oversight, and strike
- assist with responding to client inquiries and ongoing communication with active leads
- follow up on proposals, contracts, and event details as directed by the Sales & Events team
- support event planning and coordination for booked clients
- help maintain accurate event records, timelines, and client information within event management systems
- provide timely responses to client questions and requests
- assist with venue tours and client meetings, as needed
- communicate event staffing needs and operational requirements to appropriate team members
- coordinate with vendors and internal departments to support successful event execution
- assist with maintaining event equipment, supplies, and inventory organization
- support development and refinement of event operating procedures
- perform other duties as assigned to support the Events and Hospitality teams
