The Arvest Convention Center (ACC), a proud member of the Oak View Group family, is a premier, modern venue situated in the heart of Tulsa's vibrant Arena District. With over 275,000 square feet of flexible event space, the ACC is an award-winning facility that has been serving the community for more than 50 years. Owned by the City of Tulsa, the venue hosts a wide array of events ranging from conventions and meetings to concerts and cultural celebrations, making it a cornerstone of live entertainment in the region.

The Event Manager role at the Arvest Convention Center is an integral position reporting directly to the Senior Event Services Manager. This role is designed for a dynamic professional skilled in orchestrating diverse events seamlessly, ensuring exceptional client and guest experiences throughout each event lifecycle. Serving as the pivotal point for event coordination, the Event Manager handles the end-to-end logistics necessary to create memorable, successful events.

The salary range for this full-time position is between $55,000 and $65,000, reflecting the importance and responsibility entrusted to this role within the organization. This role involves working closely with clients to plan, coordinate, and execute a wide variety of meetings and events according to their needs and deadlines. The Event Manager maintains constant and clear communication with clients before and during their events, managing details such as diagram submissions, setup specifications, and timely paperwork processing. They ensure that every client, patron, and vendor receives the highest service standards at the facility.

A critical function within this role involves liaising with outside contractors, decorators, and vendors to coordinate services and equipment essential for event success. Additionally, the Event Manager advises clients on facility policies, license agreements, and operational procedures.

The Event Manager is also responsible for managing event budgets, including expense tracking, preparing cost estimates, and monitoring final billing. Maintaining harmonious relationships with various departments, municipal officials, and event staff is key to upholding facility integrity and ensuring safety and smooth event operations.

Due to the nature of live events, this role requires responsiveness to emergency situations, crowd control, and facility alarms with professional and decisive action. Being available for a flexible schedule that includes nights, early mornings, weekends, and holidays is a necessity.

Job Requirements

  • Bachelor's degree from an accredited college/university with major coursework in facility management, hospitality management, business, or related field
  • 3-5 years of increasingly responsible experience in event management in a stadium, arena, convention center or public assembly facility setting
  • Ability to obtain Trained Crowd Manager certification
  • Ability to obtain First Aid, CPR, and AED certification
  • Valid driver's license or ability to obtain
  • Professional oral and written communication skills in English
  • Strong computer skills in Microsoft Office applications, word processing, email, internet, and data entry
  • Ability to manage time and multiple tasks efficiently
  • Knowledge of crowd management and control techniques
  • Knowledge of customer service practices
  • Knowledge of facility use contracts
  • Knowledge of fire and public safety regulations
  • Ability to work a flexible schedule including nights, early mornings, weekends and holidays
  • Ability to be on feet for extended periods and perform physical work
  • Availability to respond to emergencies and crisis situations

Job Qualifications

  • Bachelor's degree in facility management, hospitality management, business or related field
  • 3-5 years of responsible event management experience in stadium, arena, convention center or public assembly setting
  • Trained Crowd Manager certification or ability to obtain
  • First Aid, CPR and AED certifications or ability to obtain
  • Professional oral and written communication skills in English
  • Strong computer skills including Microsoft Office and data entry
  • Valid driver's license or ability to obtain
  • Knowledge of various event operational characteristics
  • Experience with budget preparation and control
  • Knowledge of crowd management and control techniques
  • Familiarity with facility use contracts and public safety regulations
  • Experience with AutoCAD and/or Social Tables preferred
  • Customer service experience preferred
  • Knowledge of supervision, scheduling and employee training principles
  • Knowledge of A/V and electronic systems in public assembly facilities preferred

Job Duties

  • Plan, coordinate and execute meetings/events according to client needs in a timely manner
  • Maintain communication with clients before and during events on deadlines and requirements
  • Provide excellent service to clients, patrons and vendors
  • Research and recommend equipment, materials and supplies for event success
  • Coordinate outside service needs with contractors, decorators and vendors
  • Guide clients in event preparation by interpreting facility policies and contracts
  • Issue timely paperwork to appropriate staff
  • Assist with special client requests and communicate internally
  • Coordinate hospitality arrangements with OVG Hospitality
  • Maintain records of event expenses and prepare cost estimates
  • Attend weekly staff meetings
  • Develop and maintain relationships with other departments
  • Uphold facility integrity and generate positive public relations
  • Communicate with municipal officials and event staff to ensure security and smooth operations
  • Respond promptly to crowd control and emergency situations
  • Serve as manager on duty when required
  • Support BOK Center events as needed
  • Perform other duties and projects as assigned
