As part of this mission, the College of Law is seeking a dedicated and highly organized Event Manager to oversee the planning and execution of a diverse range of non-alumni events. This includes receptions, seminars, meetings, conferences, lectures, symposia, onsite competitions, and outreach programs crucial to advancing the strategic objectives of the College. The role is central to ensuring that all events are meticulously coordinated and executed to the highest standards, reflecting the prestige and professionalism of FSU’s law community.

The Event Manager will be responsible for comprehensive event planning, managing all facets such as venue reservations, catering services, booking of photographers, handling parking and transportation logistics, acquiring necessary permits, and coordinating equipment and entertainment arrangements. They will oversee the preparation of event signage and promotional materials, develop seating charts, produce name tags, and accommodate special requests to ensure a seamless event experience. This position also includes leadership responsibilities in developing and enforcing event policies and procedures for the College, maintaining clear and updated guidelines on event planning to support faculty, staff, and students.

Collaboration is a key component of the role, requiring close liaison with various departments including Facilities Building Operations, IT, Communications, and the Dean’s Office to guarantee all event logistics are aligned and executed smoothly. The Event Manager will act as a critical link, ensuring timely communication and coordination across the College of Law community and stakeholders, including external partners such as local judges and attorneys. They will also manage the coordination of major College events to avoid scheduling conflicts.

Additional duties include managing event follow-ups such as gathering participant feedback, extending vendor appreciation, processing invoices, monitoring budgets, and facilitating donor acknowledgments. The role occasionally requires travel, evening, and weekend work to support special events and administrative needs. The position requires a strong understanding of fiscal policies, excellent organizational skills, and the ability to provide outstanding customer service while ensuring adherence to university policies on space use, security, and event management.

Job Duties

  • serve as event manager for all College of Law events including faculty, student, and staff events
  • manage logistics including schedules, budgets, marketing, travel, guest lists, invitations, and staffing
  • coordinate with colleagues to clarify event expectations and details
  • recommend and implement event policies for the college
  • maintain updated policies and procedures documents
  • manage Dean receptions, retirement celebrations, and other Dean-directed events
  • collaborate with Dean's Office to provide pre- and post-event information
  • oversee post-event tasks including feedback collection, vendor appreciation, invoice processing, expense monitoring, and donor acknowledgments
  • manage events involving external groups such as other FSU colleges and community partners
  • arrange and reserve event supplies and services
  • develop event layouts, maps, and diagrams
  • liaise with Facilities, IT, Dean's Staff, and Communications departments for event needs
  • facilitate communication with Communications for event awareness
  • coordinate event calendar with Alumni Relations to avoid scheduling conflicts
  • promote teamwork to accomplish division goals and support Dean's team
  • manage reservations and usage of College of Law space ensuring maintenance and repair
  • travel occasionally for events, including evening and weekend hours
  • run errands for offices requiring motor vehicle operation
  • adhere to fiscal policies and ensure budgeting and approval processes
