The role of Event Coordinator at Osceola Heritage Park is a dynamic position focused on managing and coordinating events from start to finish. The Event Coordinator serves as the vital link between clients and the venue, ensuring every detail aligns with client expectations and venue capabilities. Responsibilities include meeting with client groups to plan events, coordinating with service contractors and vendors, managing floor plans and site layouts, and supervising part-time event service staff. Working closely with food and beverage teams and other departments, the Event Coordinator ensures smooth event execution.

This role demands excellent organizational and communication skills, as well as the ability to work flexible hours including nights, weekends, and holidays. Staff supervision and overseeing all facility operations during events are key functions of this position. Candidates should be bilingual in English and Spanish to effectively communicate with a diverse clientele. Experience in public facility management and the hospitality industry enhances the ability to manage logistics, client relations, and event execution with professionalism and efficiency.

Job Requirements

Job Qualifications

  • Strong computer skills including Microsoft Word, Excel, and Outlook

  • previous management experience in a similar venue preferred
  • working knowledge of Delphi preferred
  • at least one year of experience in public facility management or related fields preferred

Job Duties

  • Meets with client groups to plan and organize assigned meetings and/or events
  • coordinates activities with service contractors and vendors
  • assists in all outside services and equipment required for events
  • works closely with food and beverage teams to meet client needs
  • keeps clients informed of deadline schedules and event specifications
  • reviews floor plans and determines requirements
  • develops and designs floor layouts using Delphi
  • writes event work orders and manages contractual obligations
  • maintains accurate records of pre-event planning and billable charges
  • prepares cost estimates and monitors final billing
  • assures quality service and timely invoicing
  • attends planning and operational meetings
  • explains contract provisions, policies, and procedures to clients
  • supervises staff and oversees facility operations related to events
  • assists in supervising part-time event service staff
  • serves as Event Manager for Osceola Heritage Park events
  • serves as primary liaison between clients and facility departments
  • maintains post-event information and client feedback
  • plans, coordinates, and executes events as requested
  • issues all event paperwork and communicates needs to departments
  • monitors and assists with facility setup and maintenance
  • maintains authority over clients, staff, patrons, security, and safety
  • attends meetings as needed
  • maintains harmonious relationships with all departments and staff
  • works extended and irregular hours including nights, weekends, and holidays
  • performs other job duties as assigned
