The position of Event Manager at Garfield Heights City Schools is a supplemental, hourly role primarily active on weekends and during events throughout the 2025-2026 school year. This role offers competitive compensation at $30.00 per hour and reports directly to the Operations Manager. The Event Manager holds a vital role in orchestrating the logistical and operational aspects related to school and community events. This includes comprehensive event planning, coordination, venue and equipment preparation, team supervision, and strict adherence to safety and compliance standards.

In this role, the Event Manager is expected to work collaboratively with diverse stakeholders including school administrators, sports coaches, vendors, and volunteers to ensure that all events run smoothly and efficiently. The responsibilities involve creating detailed setup plans tailored to each event's specific needs, coordinating with suppliers for necessary equipment such as scoreboards, tents, seating, and sound systems, and managing the physical setup and breakdown of venues like fields, courts, and gymnasiums.

Leadership is a key element of this position, as the Event Manager directs teams who assist with event setup, providing clear instructions and training to ensure the highest standards of performance. Safety is paramount, with duties that include conducting pre-event safety checks, enforcing crowd control measures, maintaining emergency preparedness, and ensuring accessibility for medical personnel.

The Event Manager also plays a hands-on role during events, troubleshooting operational challenges, maintaining facility cleanliness, managing waste disposal, and overseeing restroom supplies. Special attention is given to weather conditions with responsibilities to shovel and salt walkways as needed during inclement weather. The position demands flexibility, problem-solving skills, and the ability to manage multiple tasks efficiently while ensuring events are restored to their original condition post-completion.

Job Requirements

Job Duties

  • Collaborate with school administrators, sports coaches, and event organizers to understand permit requirements of each sports event
  • Develop detailed set-up plans for each event, including equipment needs, space utilization, and logistical considerations
  • Coordinate with vendors and suppliers for necessary equipment and services such as scoreboards, tents, seating, and sound systems
  • Oversee the physical setup of event venues, including fields, courts, or gymnasiums
  • Ensure all necessary equipment is available, functional, and properly installed
  • Set up seating areas, signage, and manage traffic flow for spectators, athletes, and staff
  • Lead and manage a team of staff or volunteers responsible for event setup, providing training and instructions
  • Ensure all event setups adhere to safety regulations and school policies, including crowd control measures and emergency preparedness
  • Conduct pre-event safety checks and maintain clear evacuation routes and emergency access
  • Be present during events to oversee setup completion, troubleshoot issues, and manage last-minute changes
  • Liaise with coaches, referees, and event officials to address operational concerns
  • Maintain cleanliness of building and grounds, including parking lots
  • Vacuum entry carpets and mop lobbies as needed
  • Shovel and salt walks during inclement weather
  • Check in frequently with permit holders for additional needs
  • Empty trash cans as needed
  • Restock restroom paper products and soap during events
  • Secure all doors and arm the building
  • Restore venues to original condition after events, including cleanup and equipment removal
  • Supervise equipment breakdown and ensure proper storage or return to vendors
