The role offered at Brookshire Grocery Arena is that of an Event Coordinator, who will be the primary liaison between clients and various facility departments. This position is crucial for the successful planning and execution of events, requiring direct communication and coordination with clients to understand their needs and expectations. The Event Coordinator attends planning and organizational meetings to ensure thorough preparation and smooth operation of all events. Responsibilities include creating detailed event documents outlining specific instructions for each department, handling client inquiries and last-minute changes, coordinating equipment and room setups with the operations team, and managing service contracts. Job Requirements
- Pass a background check
- Bachelor's degree or equivalent experience preferred
- One to two years of event planning experience
- Knowledge of event facility management principles
- Three years communication/information services experience
- Ability to work flexible schedules including holidays, weekends and evenings
- Ability to lift up to 50 pounds
- Ability to work indoors and outdoors during events
- Ability to stand and walk for extended periods
Job Qualifications
- Bachelor's degree in hospitality, business or related field preferred
- One to two years of event planning experience and/or training
- Working knowledge of principles of event facility management, services and equipment
- Three years previous communication/information services experience
- Knowledge of Bossier City/Shreveport area including hotels, restaurants, retail and entertainment preferred
- Experience as a supervisor or manager preferred
- Ability to work both in a team and independently
- Must be able to work flexible schedule including holidays, weekends and evenings
- Exceptional verbal and written communication skills
- Excellent organizational, planning and interpersonal skills
- Ability to prioritize multiple projects
- Demonstrated problem-solving and communication skills
- Professional presentation, appearance and work ethic
- Knowledge of Microsoft Office 365 and Draft Sight
Job Duties
- Serve as primary liaison between clients and facility departments
- Attend planning, organization and other event and facility meetings
- Determine event criteria and compose detailed event documents with instructions for departments
- Serve as lead contact for clients handling changes, requests and unusual circumstances
- Coordinate with operations on equipment distribution, room set requirements, and staffing needs
- Plan and coordinate activities with service contractors
- Inspect leased event spaces during move-in, move-out and event hours for compliance and proper setup
- Guide clients in interpreting contract provisions, policies and procedures
- Keep clients informed of status of deadline schedules and relevant event details
- Prepare cost estimates and assist accounting with final billing
- Conduct prospective client tours and help clients visualize event possibilities
- Maintain a philosophy of providing highest level of customer service
- Communicate courteously and professionally with staff, clients, and subcontractors
- Perform other assigned tasks
